European Property Management Software

Property management software holds leases, rent payments, tenant contact details, deposit records and bank data, which makes it one of the most sensitive tools a landlord or manager runs. These European options cover private landlords, letting agents and housing companies, and each names a European contracting entity.

How we rank these tools — 4-step process
  1. 1
    European ownership, verified

The company is headquartered and incorporated in the EU, EEA, the UK, Switzerland or Israel, and processes customer data in Europe or Israel. A US parent company disqualifies a tool from this page regardless of where its servers are.

  2. 2
    Category fit and hands-on review

What the tool actually does, who it suits, and where it falls short — checked against the vendor’s own documentation, changelog and pricing page rather than its marketing copy.

  3. 3
    Compliance and pricing check

GDPR posture, hosting location and the prices quoted on this page are verified against the vendor’s public pricing before publication, and re-checked when we revisit the category.

  4. 4
    Position on this page

Placement on this page can be paid, and that can affect the order tools appear in. It never buys a listing: a tool that fails the checks above is not here at any price, and payment does not change the shortcomings we write about. A vendor can ask us to correct a factual error — not to remove a criticism.

Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. Vendors can pay for more visibility, higher up on the review pages; it never affects whether a tool is listed. Editorial policy

Key takeaways

  • Rentila, registered in Sofia, is the cheapest route in this directory for an owner with several lets: one lot is free, and unlimited lots cost EUR 119 a year excluding VAT.
  • Immoware24 in Halle (Saale) and DOMUS Software near Munich are the two German vendors that treat condominium (WEG) and professional administration as the main job, and neither publishes a price.
  • Arthur Online, Landlord Vision and Reapit are the three UK tools, and only Arthur Online and Landlord Vision publish prices, from GBP 82.50 a month for 55 units and GBP 19.97 a month for four tenancies.
  • Vermieter1 is the only tool in this category that makes the German utility cost statement free, for one unit, and it states Hetzner hosting in Germany.
  • Aareon in Mainz is the only vendor here with local sites in seven countries, and it also owns the product behind Arthur Online according to the footer of that site.

European property management software is the system a landlord, letting agent or housing company uses to run leases, rent collection, deposits, utility settlements and tenant contact, supplied by a provider established in the EU, the UK, Lithuania or another European jurisdiction, which matters because tenant identities, bank details and rental contracts fall under national rental law and the GDPR.

#1 Rentila

Sofia, Bulgaria Founded 2008 Free for 1 lot; EUR 59 a year for 2 to 5 lots; EUR 119 a year for unlimited lots; all excl. VAT Free plan for one lot, no time limit

Best for: Private landlords, SCIs and joint owners managing their own rentals

  • Operating company. Rentila ltd
  • Jurisdiction. EU (Bulgaria)
  • Where the data sits. OVH servers in the EU; documents and backups in a Paris region of a US-owned storage provider
  • Source code. Closed source
  • Replaces. AppFolio, Buildium, spreadsheets

Rentila is the entry point for a French landlord who has decided to stop paying an agency. You create a property, add a tenant, link them in a lease, and the software produces rent calls, receipts, indexation letters and the yearly service charge settlement. The free plan covers one lot, two tenants and four inventory reports, and the paid plans are EUR 59 a year for two to five lots and EUR 119 a year for unlimited lots, excluding VAT.

The operator is Rentila ltd, registered in Sofia, with OVH in Roubaix as the host named in the terms. The vendor says it has served landlords since 2008 and that more than 50,000 landlords manage close to 300,000 properties on it. Two limits matter: the interface and legal wording are French, and the privacy policy places documents and backups with a storage provider whose parent is a US company, in its Paris region.

What Rentila does well

  • Free plan for a first lot
  • Annual prices of EUR 59 and EUR 119 excl. VAT
  • Lease, receipt and indexation documents generated automatically
  • Bank synchronisation and e-signatures listed on every plan
  • EU-hosted application on OVH

Where Rentila falls short

  • French law and French interface only
  • Free plan limited to 1 lot and 2 tenants
  • No agency or client-money functions
  • Backups stored with a provider owned by a US company

Standout feature. Rentila is the only tool here where an unlimited number of lots costs a flat EUR 119 a year.

#2 Immoware24

Halle (Saale), Germany Founded 2013 On request; based on managed units, active users and chosen modules; 12-month minimum term 30-day free trial

Best for: German property managers handling rental, WEG and special-property administration

  • Operating company. Immoware24 GmbH
  • Jurisdiction. EU (Germany)
  • Where the data sits. ISO 27001 certified data centres in Germany
  • Independent checks. ISO 27001 (data centres)
  • Source code. Closed source
  • Replaces. AppFolio, Yardi

Immoware24 is a full administration package for German property management firms rather than for the landlord with two flats. Rental contracts, payments, utility billing, condominium budgets and the accounting behind them sit in one system, with rental administration, WEG administration and special-property administration kept apart but sharing master data. The vendor lists GoBD bookkeeping, dunning, online banking and DATEV export as core functions.

Immoware24 GmbH sits in Halle (Saale) under HRB 19334 at the Amtsgericht Stendal, and says it began in 2013, with more than 4,500 customers and over 2 million managed units. Data is held in ISO 27001 certified data centres in Germany according to the vendor. There is no price list, a 12-month minimum applies and the 30-day trial is arranged after a call.

What Immoware24 does well

  • Rental, WEG and special-property administration in one system
  • GoBD accounting with DATEV export
  • ISO 27001 data centres in Germany
  • Tenant and owner portal included in the range
  • 12-month minimum is the only term lock stated

Where Immoware24 falls short

  • No published prices
  • German law and language only
  • 12-month minimum contract term
  • Too large for a landlord with a few flats

Standout feature. Immoware24 is the tool that gives a German manager separate rental and owner association accounts with DATEV export in one system.

#3 Vermieter1

Buchholz, Germany Free for 1 unit; Basic EUR 79 a year for 5 units; Pro EUR 179 a year for 25 units; lifetime EUR 549 one-off; all excl. 19% VAT Free plan for one unit, no time limit

Best for: Private landlords in Germany with a small number of units

  • Operating company. Schulz Vermögens- und Dienstleistungsgesellschaft UG (haftungsbeschränkt)
  • Jurisdiction. EU (Germany)
  • Where the data sits. Hetzner infrastructure in Germany, processing agreement published
  • Source code. Closed source
  • Replaces. AppFolio, Buildium, spreadsheets

Vermieter1 is built for the German private landlord who has to produce a utility cost statement every year. That statement, together with the heating cost statement under HeizKV, is included in the permanent free plan for one unit. Basic costs EUR 79 a year for five units and Pro EUR 179 a year for 25 units, excluding 19% VAT, with every feature on both paid plans and cancellation at any time.

The provider is a small UG in Buchholz, which the vendor's imprint names, and the application and database run on Hetzner infrastructure in Germany with a published processing agreement. Bank matching works read-only through PSD2, and the first account is included in the annual plans. The trade-offs are the UG legal form, the 25-unit ceiling on self-service and extra charges for further bank accounts.

What Vermieter1 does well

  • Free permanently for one unit including utility statements
  • Hosted on Hetzner in Germany with a processing agreement
  • Annual prices from EUR 79 excl. VAT
  • All features on every paid plan
  • Cancel at any time

Where Vermieter1 falls short

London, United Kingdom Standard from GBP 82.50 a month incl. 55 units; Professional from GBP 96.00 incl. 60 units; Enterprise from GBP 126.00 incl. 70 units; annual billing Not stated

Best for: UK letting agents and landlords with a few dozen to several hundred units

  • Operating company. Arthur Online Limited
  • Jurisdiction. UK
  • Where the data sits. Some data may be stored outside the EEA, including access by a development team in India (per privacy policy)
  • Source code. Closed source
  • Replaces. AppFolio, Buildium

Arthur Online gives every party in a tenancy their own app: managers, tenants, contractors and owners. A tenant raises a repair, the manager assigns it, a contractor quotes and later invoices, and the owner sees a remittance statement. The finance module reconciles bank statements and connects to Xero, and the vendor lists compliance tracking and applicant and viewing management as well.

The contracting company is Arthur Online Limited, registered in England and Wales (07912886) with an office in Cornhill, London, and the site footer and data protection contact point to Aareon. Standard costs GBP 82.50 a month including 55 units, Professional GBP 96 for 60 and Enterprise GBP 126 for 70, with annual billing. • Operating company. BailFacile SAS
  • Jurisdiction. EU (France)
  • Where the data sits. Servers in France, operated by an AWS EMEA entity in Luxembourg
  • Source code. Closed source
  • Replaces. AppFolio, agency management mandates

BailFacile positions itself against the agency mandate, and its home page compares a 625 euro rent managed at 8 percent fees with the software fee. It covers furnished, empty, mobility, student, co-tenancy and parking leases, rent receipts, entry and exit inventories on a smartphone, guarantor deeds, amendments and unpaid-rent letters. Unlimited e-signatures and more than 50 pre-filled legal documents are listed on every plan.

#11 Leasily

Vilnius, Lithuania Founder price EUR 9 a month; the page states free access until July 2026 Not stated

Best for: Independent landlords with a few lets who want a simple rent log

  • Operating company. MB Baioras
  • Jurisdiction. EU (Lithuania)
  • Where the data sits. EU servers (Supabase, Frankfurt)
  • Source code. Closed source
  • Replaces. Spreadsheets, AppFolio

Leasily is deliberately narrow: it tracks what was paid, what is due and who is late, and sends reminders to tenants. The listed features are unlimited properties and tenants, rent expiry alerts, payment history, an annual income summary exportable as PDF or XLS, expense tracking and a shareable tenant portal link. There are no lease templates, inventories or accounting integrations.

The terms name MB Baioras, a Lithuanian entity registered in Vilnius under code 307183589, and the privacy policy names Supabase in Frankfurt for the database and Stripe for payments. The page offers a founder price of EUR 9 a month and says access is free until July 2026, a date that has passed, so confirm the current billing state with the vendor. Whether the price includes VAT is not stated.

What Leasily does well

  • Unlimited properties and tenants on the listed plan
  • Automatic rent reminders
  • Database in Frankfurt
  • Export to PDF and XLS
  • Low founder price

Where Leasily falls short

  • Narrow feature set
  • Very small operator
  • Pricing page still refers to a free period ending in July 2026
  • VAT treatment not stated

Standout feature. Leasily is the only tool here whose whole scope is a rent payment log with automatic reminders.

How do I choose property management software when every country has its own rental law?

Start with the country of the property, not the country of the vendor. Rentila, BailFacile and Immobilier Loyer encode French practice: lease types, IRL and ILC indexation, charges settlement. Vermieter1, Immoware24 and DOMUS encode German practice, down to heating cost statements and GoBD bookkeeping. Arthur Online, Landlord Vision and Reapit assume UK certificates, Xero and Making Tax Digital. Choosing a tool from the wrong country means rebuilding its templates by hand.

Then ask what kind of party you are. An owner with a few lets needs documents and a payment log. A manager holding client money needs ledgers, owner statements and often a portal for each party. A housing association needs maintenance planning and payment modules. The directory splits roughly along those lines, and the table above lets you filter by it.

What does property management software cost in Europe?

Prices run from nothing to a quote. Rentila and Vermieter1 give one lot or one unit away for free; Rentila charges EUR 59 and EUR 119 a year for larger portfolios and Vermieter1 EUR 79 and EUR 179 a year, both excluding VAT. Monthly options start at EUR 7.70 for Immobilier Loyer, EUR 9.99 for BailFacile and a founder price of EUR 9 for Leasily.

UK tools meter by unit or tenancy: Arthur Online from GBP 82.50 a month including 55 units, Landlord Vision from GBP 19.97 a month for four tenancies. Immoware24, DOMUS, Reapit and Aareon publish nothing, and Immoware24 adds a 12-month minimum term. Compare the unit that is metered, since the same portfolio can cost very different amounts under a per-lot, per-tenancy or per-unit rule.

Where is the tenant data actually stored?

The answers differ and several are partial. Vermieter1 states Hetzner in Germany and Immoware24 ISO 27001 data centres in Germany. Leasily states a Supabase database in Frankfurt. Rentila names OVH in the EU but places documents and backups with a US-owned provider in a Paris region. BailFacile states French servers run by an AWS EMEA entity in Luxembourg.

For others, the pages read did not say. DOMUS and Aareon stated no hosting location, Reapit listed possible transfers to the United States and other countries, Landlord Vision allows a support provider outside the UK to process data, and Arthur Online mentions storage outside the EEA and a development team in India. A landlord is the controller for tenants and should ask for hosting and sub-processors in writing.

How hard is it to move from AppFolio, Buildium or Yardi to a European tool?

Harder in scope than in data. A US platform bundles accounting, leasing, maintenance and portals, so you will pick the slice you use and drop the rest. A private landlord can usually move in an afternoon by entering leases into Rentila, Vermieter1 or BailFacile and importing the last year of rent history as a spreadsheet.

A manager with owner accounts needs a planned migration. Immoware24 and DOMUS deploy with vendor involvement, and a UK agency moving to Arthur Online or Reapit should run both systems for one rent cycle. Keep the historic ledgers as PDF for the statutory retention period of the country where the property sits.

When is a simple rent tracker enough?

When the work is a payment log. Leasily lists reminders, payment history, expense tracking, an annual income summary and a tenant portal link, and nothing for leases or inventories. If your lets are few, your lease is already signed and the only problem is chasing late rent, that is a fair match, and it costs a founder price of EUR 9 a month.

Do not use it where the law demands documents. A French owner issuing receipts and indexation letters needs Rentila or Immobilier Loyer, and a German landlord who must issue a utility statement every year needs Vermieter1. The operator is a very small business and the pricing page still refers to a free period that ended in July 2026, so confirm the billing state.

Is it worth paying for an agency-grade platform as a private landlord?

Usually not. Reapit, Aareon, DOMUS and Immoware24 sell to professionals: client accounts, WEG administration, portals, maintenance planning. A private landlord pays for all of it and uses little. BailFacile argues the cost case directly, setting its monthly fee against an 8 percent agency commission on a 625 euro rent.

The exception is a growing portfolio. Past a few dozen units, Arthur Online's 55-unit entry plan or Vermieter1's 25-unit Pro plan are the thresholds to watch, and past those, the quote-only vendors become the realistic choice.

How we selected and ranked these 11 tools

Every tool on this page is in the European Purpose directory, which means the operating company is established in Europe and we have verified that from the company register or the vendor's own legal notice rather than from a marketing page. Tools headquartered outside Europe are not eligible, however good they are.

  1. Feature verification (weight: 40%). We check each capability against the vendor's own documentation and product pages, and record what the tool does rather than what the category is assumed to include.
  2. Ease of adoption (weight: 30%). Integrations, published API access, trial availability and how much configuration stands between signing and a usable result.
  3. Value and transparency (weight: 30%). Published pricing counts in a vendor's favour; quote-only pricing is recorded as quote-only rather than estimated. We weigh what a buyer gets for the entry price, not the headline feature count.
  4. Editorial review. Every page is researched and drafted with AI assistance, and the compliance and pricing claims are checked against the vendor's documentation before it is published under the founder's editorial responsibility. The three weights above decide the order; a position is a ranking against the other European tools in this category, not an absolute score.

Vendor-reported outcomes — ROI figures, margin uplift, time saved — are labelled as vendor claims wherever they appear on this page. We have not audited them, and neither has anyone else who quotes them. Read our full editorial process for how pages are re-verified.

Frequently asked questions

Rentila holds #1 in this directory because it combines a usable free plan, annual prices of EUR 59 and EUR 119 excluding VAT, bank synchronisation and e-signatures, but it is built for French rental law. For Germany pick Vermieter1 (free for one unit) or Immoware24 for professional managers, for the UK Arthur Online or Landlord Vision, and for housing associations Aareon.

Several, divided by country. Rentila and BailFacile serve French owners, Vermieter1 German private landlords, Immoware24 and DOMUS German professional managers, Arthur Online and Reapit UK agencies, and Aareon larger housing companies. None matches AppFolio's full US scope of leasing CRM and student housing modules in one product, so choose the slice you use.

Rentila is free for one lot with two tenants and four inventory reports, and Vermieter1 is free permanently for one unit including its utility and heating cost statements. Immobilier Loyer offers a 30-day free account, Landlord Vision a two-week trial and BailFacile a 7-day trial. Leasily's page states free access until July 2026, which has passed.

Reapit lists client accounts and landlord statements, Arthur Online produces owner remittance statements with contractor workflows, and Immoware24 and DOMUS cover professional administration in Germany. Aareon targets housing companies. Rentila, BailFacile, Vermieter1 and Leasily are aimed at owners and do not offer agency client-money functions.

The vendors state GDPR compliance, but the practical detail differs: Vermieter1 publishes a processing agreement, Rentila acts as processor under Article 28, and Immoware24 states ISO 27001 data centres in Germany. Reapit, Landlord Vision and Arthur Online disclose transfers outside Europe, and DOMUS and Aareon stated no hosting location. Read each privacy policy before loading tenant files.
