European Alternatives to AppFolio

Looking for a European alternative to AppFolio? AppFolio, Inc. is a US company with its address in Goleta, California, and its public privacy notice is written around US state privacy laws and does not mention the GDPR. Its pricing page lists plans from 1.49 US dollars per unit per month, with a minimum spend and a 50-unit minimum, in dollars.

These European tools cover private landlords, letting agents and housing companies, with contracting entities in the EU or UK and local rental law, accounting exports and hosting statements that a US-built system does not provide.

How we rank these tools — 4-step process
  1. 1
    European ownership, verified

The company is headquartered and incorporated in the EU, EEA, the UK, Switzerland or Israel, and processes customer data in Europe or Israel. A US parent company disqualifies a tool from this page regardless of where its servers are.

  2. 2
    Category fit and hands-on review

What the tool actually does, who it suits, and where it falls short — checked against the vendor’s own documentation, changelog and pricing page rather than its marketing copy.

  3. 3
    Compliance and pricing check

GDPR posture, hosting location and the prices quoted on this page are verified against the vendor’s public pricing before publication, and re-checked when we revisit the category.

  4. 4
    Position on this page

Placement on this page can be paid, and that can affect which tools appear here and the order they appear in. It never buys a good review: a tool that fails the checks above is not here at any price, and payment does not change the shortcomings we write about. A vendor can ask us to correct a factual error — not to remove a criticism.

Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. Vendors can pay for more visibility, higher up on the review pages; it never affects which tools are listed. Editorial policy

Key takeaways

  • AppFolio's pricing page lists Core from $1.49, Plus from $3.20 and Max from $5.00 per unit per month, with a minimum spend and a 50-unit minimum on Core.
  • AppFolio's privacy notice, updated on 31 December 2025, is organised around US state privacy laws and did not mention the GDPR on the pages read on 27 October 2026.
  • Rentila and Vermieter1 publish flat annual prices (EUR 59 to 179 excluding VAT) where AppFolio quotes per unit and per month in dollars.
  • Arthur Online, Landlord Vision and Reapit cover UK lettings, while Immoware24, DOMUS and Aareon cover German-speaking and wider European professional managers.
  • No European tool in this list matches AppFolio's full US scope of leasing CRM, student housing and affordable housing modules in one product.

Why people leave AppFolio

AppFolio, Inc. sells a property management platform built for the American residential market: multifamily, single-family, student and affordable housing, community associations and commercial. Its pricing page is the clearest statement of the target customer. Plans are quoted in dollars per unit per month, and the entry plan carries a minimum spend and a 50-unit minimum. Someone with a handful of flats in Lyon or Leipzig is simply not the person that page is written for.

The second thing people notice is the legal frame. AppFolio's privacy notice, last updated on 31 December 2025, gives a Goleta, California address and lists the US states whose residents get specific disclosures (California, Colorado, Connecticut, Texas and a dozen more).

On the pages read for this review it never mentions the GDPR, a European representative or a transfer mechanism. That is not evidence of bad practice. It does mean a European landlord holding tenants' bank details has to ask AppFolio for the paperwork instead of finding it.

Then there is fit. Lease templates, utility cost statements, rent indexation, deposit rules and accounting exports differ by country in Europe, and AppFolio's feature list reads as a US operating manual (affordable housing and student housing modules, Leasing CRM, an API tier). The people who leave are usually not unhappy with the software. They discover that the legal documents it produces are not the ones their tenants and tax office expect.

  • The price is quoted per unit, in dollars, with minimums The pricing page shows Core at $1.49, Plus at $3.20 and Max at $5.00 per unit per month, and a footnote that minimum spend applies, plus a 50-unit minimum on Core. For a manager with 300 units that can be reasonable. For an owner with four, the minimum decides the price before the unit rate does. Several European tools in this list instead charge a flat yearly fee, such as Rentila at 59 or 119 euros excluding VAT.
  • The privacy notice is written for US state law The notice names California, Colorado, Connecticut and other US states and offers their residents specific rights. On the pages read it does not name the GDPR, and it describes AppFolio as acting for business customers who run their own notices. A European buyer who needs an Article 28 processing agreement should ask for it in writing before loading tenant files. Most vendors on this page publish theirs, or name the host.
  • Local rental rules are outside the product AppFolio's plan descriptions mention affordable-housing and student-housing capabilities, work orders, inspections and a leasing CRM. They do not mention German utility statements, French rent indices (IRL, ILC), DATEV export or UK gas safety reminders. Those items are exactly what the European tools build in, because rental law in Europe is national. A system that does not know them leaves the work to a spreadsheet.
  • Sales-led tiers and a separate terms page per plan Every AppFolio plan ends in "Get a Quote", and the terms landing page splits into separate documents for Core, Plus, Max, add-on services and Investment Manager. That is normal for a US platform vendor, but it makes comparing costs slow. Rentila, Vermieter1, Arthur Online and BailFacile publish a price, and Immoware24 and DOMUS at least state how the price is built.

What you have to replace, not just match

Moving off AppFolio means replacing a stack, not a screen. The Core plan bundles property accounting and reports, marketing and leasing, work orders, inspections and unit turns, a mobile app, tenant communication, standard integrations, purchase orders and the Realm-X assistant.

Plus adds budgeting, custom fields, scheduled maintenance with automated billing and a read-only API; Max adds the Leasing CRM and a read/write API. Few European tools cover that whole span in one product, so expect to pick the part you actually use.

What you pick depends on who you are. A private landlord uses perhaps a fifth of AppFolio: rent tracking, receipts, an annual statement. That slice is what Rentila, Vermieter1, BailFacile, Immobilier Loyer and Leasily sell, each tied to one country's law. A professional manager with owner association accounts and client money looks at Immoware24, DOMUS or Aareon in Germany, and at Arthur Online or Reapit in the UK.

Do not forget the data AppFolio holds beyond leases: ledgers, owner statements, vendor invoices, tenant messages, inspection photos and the history of every work order. Ask before you decide what must move and what can be archived as PDF. Accounting history usually has a legal retention period in the country of the property, so the archive decision is a compliance question as much as a technical one.

How each alternative compares to AppFolio

#1

Rentila

A very cheap French-law landlord tool that undercuts AppFolio's minimum spend entirely

Sofia, BulgariaFree for 1 lot; EUR 59 a year for 2 to 5 lots; EUR 119 a year for unlimited lots; all excl. VAT#1 in Property Management Software

Best for: A French owner or SCI with a few lots who no longer wants to pay an agency mandate

Rentila turns a lease into the monthly paperwork: rent calls, receipts, indexation letters and the yearly service charge settlement. Against AppFolio's per-unit dollar pricing with a minimum spend, the ladder is dramatically simpler. One lot is free, two to five lots cost EUR 59 a year and unlimited lots EUR 119 a year, all excluding VAT.

The operating company is Rentila ltd in Sofia, Bulgaria, with OVH in France named as host. One caveat from its privacy policy: documents and backups sit in a Paris region of a provider with a US parent. Compared with AppFolio, where the pages read stated no hosting at all, that is at least a documented answer.

What Rentila does better than AppFolio

  • Annual price of EUR 59 to 119 against a per-unit dollar rate with a minimum
  • French indices (IRL, ILC) and lease templates for empty, furnished and commercial lets
  • Documented EU hosting and an Article 28 role in the privacy policy

Where Rentila is a step down from AppFolio

  • No client money, owner statements or multi-owner accounting
  • French interface and French law only
  • A free plan that stops at one lot and two tenants

Standout against AppFolio. Rentila is the only tool on this page where a whole portfolio of unlimited lots costs EUR 119 a year.

Immoware24

The German professional's replacement for AppFolio's accounting, owner and tenant modules

Halle (Saale), GermanyOn request; based on managed units, active users and chosen modules; 12-month minimum term#2 in Property Management Software

Best for: German property managers who run rental, WEG and special-property administration together

Immoware24 GmbH in Halle (Saale) keeps rental contracts, utility billing and condominium accounts in one system. Where AppFolio sells advanced budgeting and accounting from its Plus plan on a US ledger, Immoware24 lists GoBD-compliant bookkeeping, dunning, online banking and DATEV export as core functions, plus separate WEG administration with annual statements, reserves and owner resolutions.

The price is not published. The vendor says it depends on managed units, active users and modules, with a 12-month minimum term and a 30-day trial arranged after a call. That is as sales-led as AppFolio's Get a Quote, so the saving has to come from the quote, not from transparency. The vendor claims more than 4,500 customers.

What Immoware24 does better than AppFolio

  • German accounting (GoBD, DATEV) and WEG administration built in
  • ISO 27001 data centres in Germany, stated by the vendor
  • A tenant and owner portal included in the range

Where Immoware24 is a step down from AppFolio

  • No price list and a 12-month minimum term
  • German law and German language only
  • Aimed at firms, with no sensible tier for a single landlord

Standout against AppFolio. Immoware24 is the only entry that separates rental accounts from owner association accounts inside one German-law system.

Vermieter1

The small German landlord's answer to a platform that starts at 50 units

Buchholz, GermanyFree for 1 unit; Basic EUR 79 a year for 5 units; Pro EUR 179 a year for 25 units; lifetime EUR 549 one-off; all excl. 19% VAT#3 in Property Management Software

Best for: A German private landlord with up to 25 units who prepares his own utility cost statement

Vermieter1 starts where AppFolio's minimum ends. One unit is free permanently, with the utility and heating cost statements included. Basic is EUR 79 a year for five units and Pro EUR 179 a year for 25 units, all excluding 19% VAT, with every feature on both paid plans.

The provider is a small Buchholz UG, and the vendor states that the application and database run on Hetzner in Germany with a published processing agreement. The honest drawback is scale. A UG carries more continuity risk than a listed US vendor, and the self-service plans stop at 25 units.

What Vermieter1 does better than AppFolio

  • HeizKV heating cost and utility statements for the German market
  • Hetzner hosting in Germany and a public processing agreement
  • Cancellation at any time and a lifetime option at EUR 549 excluding VAT until 31 December 2026

Where Vermieter1 is a step down from AppFolio

  • Limit of 25 units on self-service plans
  • Extra bank accounts cost extra
  • A small vendor with a thin support organisation

Standout against AppFolio. Vermieter1 puts the German utility cost statement, normally a paid accountant job, into the free plan for one unit.

Arthur Online

The closest UK match to AppFolio's work order and stakeholder-portal model

London, United KingdomStandard from GBP 82.50 a month incl. 55 units; Professional from GBP 96.00 incl. 60 units; Enterprise from GBP 126.00 incl. 70 units; annual billing#4 in Property Management Software

Best for: A UK letting agent or portfolio landlord with 55 or more units and contractors to coordinate

Arthur Online gives managers, tenants, contractors and owners their own apps, which mirrors AppFolio's resident and vendor portals more closely than anything else here. A tenant reports an issue, the manager assigns it, a contractor quotes and later invoices, and owners see remittance statements. Finance reconciles bank statements and connects to Xero.

Prices are published in pounds: Standard from GBP 82.50 a month including 55 units, Professional GBP 96 for 60 and Enterprise GBP 126 for 70, billed annually. Two points to weigh: the privacy policy allows storage outside the EEA and access by a development team in India, and the product sits inside the Aareon group. Neither exists in a European indie tool, but both are disclosed.

What Arthur Online does better than AppFolio

  • Published per-unit allowances in pounds against a quote-only enterprise ladder
  • UK compliance tracking and Xero integration out of the box
  • Separate apps for tenants, contractors and owners

Where Arthur Online is a step down from AppFolio

  • Annual billing only
  • Data may sit outside the EEA, including access from India
  • UK-centred rules, so it fits continental Europe poorly

Standout against AppFolio. Arthur Online is the only entry where a tenant, a contractor and an owner each log in to a separate app.

BailFacile

A French rent-it-yourself service that competes with the agency, not with AppFolio's scale

Paris, FranceFrom EUR 9.99 a month; annual, quarterly and monthly options; no commitment#5 in Property Management Software

Best for: A French landlord with a few lets who wants leases, inventories and e-signatures on a phone

BailFacile is designed to replace a management mandate. It generates furnished, empty, mobility, student and parking leases, inventories on a smartphone, rent receipts and late-payment letters, with unlimited e-signatures and more than 50 pre-filled legal documents on every plan. AppFolio lists marketing and leasing tools too, but nothing tied to French lease types.

The home page starts at EUR 9.99 a month with a 7-day trial and no commitment. Exact prices per number of properties load client-side, so they could not be read from the static page. Hosting is in France, operated by an AWS EMEA entity in Luxembourg, so the servers are local while the provider's parent is not.

What BailFacile does better than AppFolio

  • French lease types, guarantor deeds and unpaid-rent letters ready to use
  • Smartphone inventories with photos and signatures attached to the lease
  • A visible starting price of EUR 9.99 a month with no commitment

Where BailFacile is a step down from AppFolio

  • Per-property prices not readable on the static page
  • Hosting on a US-owned cloud, even in France
  • No agency or client-account functions

Standout against AppFolio. BailFacile builds its entire cost argument around a monthly fee set against an 8 percent agency commission.

Landlord Vision

A compliance-minded UK landlord tool with a smaller price tag than AppFolio's tiers

Warrington, United KingdomGBP 19.97 a month (4 tenancies), 34.97 (10), 44.97 (15), 99.97 (25); list prices, extra tenancies GBP 1.10 to 1.50#6 in Property Management Software

Best for: UK buy-to-let and HMO landlords with 4 to 25 tenancies who need tax-ready records

Landlord Vision tracks gas certificates, EPCs and insurance renewals per property and sends reminders before they lapse, then connects bank feeds through Open Banking. Making Tax Digital is a named feature on every plan. That compliance layer is the reason a UK landlord would pick it over a US platform that does not know these certificates.

Plans are priced by tenancy, from GBP 19.97 a month for four tenancies to GBP 99.97 for 25, as list prices; promotions appear on the page. The privacy notice allows processing by a support provider outside the UK, including the United States, which deserves attention from anyone choosing it for data-sovereignty reasons. Compared with AppFolio, the difference is a disclosure rather than a ban.

What Landlord Vision does better than AppFolio

  • Certificate and insurance reminders for UK lets
  • Making Tax Digital support and Open Banking feeds
  • Two-week trial and published tenancy ladder

Where Landlord Vision is a step down from AppFolio

  • Privacy notice permits transfers including to the United States
  • Plans capped by tenancy count, with extra tenancies charged
  • Not a client-money agency system

Standout against AppFolio. Landlord Vision states an FCA registration as an account information service provider in its terms.

DOMUS Software

A veteran German ERP and CRM family for mid-size and large managers

Neufahrn bei Freising, GermanyOn request; sales through TSA Solution GmbH#7 in Property Management Software

Best for: A German manager with several hundred to tens of thousands of units and an existing ERP habit

DOMUS Software AG says its founder wrote a property management program in 1974, and the vendor claims more than 5,000 company customers and over 4 million managed units. The range is a family: DOMUS ERP, CRM, the fluks workflow tool, the HOMECASE tenant and owner platform, SERVICECASE for tradespeople and QUARTERCASE for neighbourhoods.

Sales, offers and licence extensions run through a separate company, TSA Solution GmbH, and no price is published. Hosting location was not stated on the pages read. The AI assistant DOMUS novio was described as in testing with a planned sales start of July 2026, so check what is actually available. Against AppFolio, the advantage is German practice and a vendor history of five decades.

What DOMUS Software does better than AppFolio

  • Decades of German property administration experience
  • HOMECASE and SERVICECASE connecting owners and tradespeople
  • Range spanning small managers up to very large firms, per the vendor

Where DOMUS Software is a step down from AppFolio

  • No public pricing and sales through a separate company
  • Hosting location not stated on the pages read
  • AI assistant announced but described as still in testing

Standout against AppFolio. DOMUS is the oldest software house in this comparison, with a 1974 starting point stated by the vendor.

Immobilier Loyer

A no-commitment French desktop and online tool for owners and SCIs

Valbonne, FranceFrom EUR 7.70 a month; SCI option +EUR 5 a month; professional option +EUR 11 a month; no commitment#8 in Property Management Software

Best for: A French owner or SCI that wants a low monthly price and the option of a PC download

Immobilier Loyer, from SUPSOFT in Valbonne, has run since 2008 and offers both an online account and a PC download, which AppFolio's plan lists do not mention. Prices start at EUR 7.70 a month per lot, with an SCI option at EUR 5 and a professional management option at EUR 11 on top. The vendor states there is no commitment and the subscription ends on its own.

It covers leases, inventories, receipts, reminders, rent revision, charges settlement and the calculations used for the French property income tax declaration. There is no telephone support, and the pages read do not state where the online software data is hosted, only that the website is on OVH in France. Treat the hosting as a question to ask.

What Immobilier Loyer does better than AppFolio

  • Automatic end of subscription and no commitment
  • A downloadable desktop version next to the online account
  • Tax declaration calculations for French landlords

Where Immobilier Loyer is a step down from AppFolio

  • No telephone support
  • Online hosting location not stated
  • Priced per lot and tied to French rules

Standout against AppFolio. Immobilier Loyer is the only tool here sold both as an online account and as a PC download.

Reapit

A UK agency platform whose sales, lettings and management scope resembles AppFolio's most

London, United KingdomOn request#9 in Property Management Software

Best for: A UK lettings agency of any branch count that also handles sales and client money

Reapit is an agency system first. Property management is one module next to sales and lettings CRM, bookings, client accounts and a data warehouse. The tenancy record holds renewals, rent reviews and inspections; works orders can be raised singly or in bulk and invoices are authorised before they post with landlord statements. In scope this is the nearest thing to AppFolio's Plus or Max.

Reapit Ltd is registered in London (company 03483017) under RPL Parent Ltd, and the privacy policy lists possible transfers to countries including the United States, Canada, South Africa and Australia. No prices are published and hosting location was not stated. For a buyer who left AppFolio to reduce US exposure, that disclosure is worth reading before signing.

What Reapit does better than AppFolio

  • Client accounts and landlord statements for UK agency practice
  • Sales and lettings CRM in the same system
  • Integration marketplace and 24/7 support, per the vendor

Where Reapit is a step down from AppFolio

  • No public pricing
  • Group transfers listed include the United States
  • Heavy for a private landlord

Standout against AppFolio. Reapit is the only entry that keeps sales CRM, lettings and client accounts in one UK-registered platform.

Aareon

A European group for housing associations and social landlords with big stocks

Mainz, GermanyOn request#10 in Property Management Software

Best for: A housing company or large manager in one of Aareon's seven country sites

Aareon Group GmbH in Mainz (HRB 53555) sells to housing companies, social landlords and commercial owners, grouped into Manage, Pay, Sustain, Engage and Connect. AppFolio also lists affordable housing, but Aareon names social and affordable housing and owners association managers as core audiences, with local sites for France, Germany, Spain, Sweden, the Netherlands, Turkiye and the United Kingdom.

No price is published and implementation projects are larger than a self-service sign-up. Hosting and self-hosting were not stated on the pages read. The legal notice names a German entity, and the Arthur Online footer shows an Aareon copyright, so one group sells to both the largest and the smallest UK buyers.

What Aareon does better than AppFolio

  • Social and affordable housing named as a core audience
  • Modules for payments, maintenance planning and portals under one group
  • A German registered entity with a public register number

Where Aareon is a step down from AppFolio

  • No public pricing and long implementation projects
  • Hosting location not stated on the pages read
  • Overbuilt for any private landlord

Standout against AppFolio. Aareon is the only vendor here with local sites in seven European countries.

Leasily

A deliberately small rent tracker, not a replacement for AppFolio's accounting

Vilnius, LithuaniaFounder price EUR 9 a month; the page states free access until July 2026#11 in Property Management Software

Best for: An independent landlord with a handful of lets who wants rent reminders and a payment log

Leasily replaces the spreadsheet, not the platform. It tracks what was paid and what is due, sends automatic email reminders, records expenses, exports PDF or XLS and offers a shareable tenant portal link. Unlimited properties and tenants are listed for the founder price of EUR 9 a month.

The operator, MB Baioras in Vilnius, is a very small business, and the pricing page still shows free access until July 2026, a date that has passed by 27 October 2026, so confirm the billing state. Data sits on EU servers at Supabase in Frankfurt, and payments run through Stripe. Against AppFolio, it is a different product class entirely.

What Leasily does better than AppFolio

  • A database in Frankfurt, stated in the privacy policy
  • A flat EUR 9 founder price with unlimited properties
  • A tenant portal link with no setup

Where Leasily is a step down from AppFolio

  • No leases, inventories, utility settlements or accounting integrations
  • A very small operator with open continuity questions
  • Pricing page still refers to a free period that has ended

Standout against AppFolio. Leasily is the only tool here whose feature list stops at rent tracking by design.

leasily.eu Visit Leasily

What actually breaks when you switch

The first break is the ledger. AppFolio keeps property accounting and reports inside the platform, so the history of rent, deposits and owner payouts has to leave as exports, and each European tool wants its own import format. Rentila and Vermieter1 expect fresh data per lot, Immoware24 and DOMUS expect a managed migration with the vendor, and Arthur Online expects its own onboarding. Budget a parallel run of one rent cycle before you cancel.

The second break is contractual. A US platform contract and a European one carry different notice periods and renewal logic: Immoware24 has a 12-month minimum, Arthur Online bills annually, Vermieter1 can be cancelled at any time, Immobilier Loyer ends on its own. Tenants, contractors and owners also need to learn a new portal and a new payment route, so announce the change with a date and keep the old URL working for a few weeks.

Can a European manager with 200 units realistically leave AppFolio?

Yes, if the units sit in one country and the manager holds the accounting in one currency. Germany has Immoware24 and DOMUS for exactly that profile, with owner association accounting that AppFolio's plan lists never mention. The UK has Arthur Online, which prices from 82.50 pounds a month including 55 units, and Reapit if sales and lettings share a system.

Test one building before the portfolio. Export a year of ledgers from AppFolio, load them into the candidate and compare the owner statement for one property line by line. If the closing balance matches and the tax export opens in your accountant's software, the rest is retraining and a notice period.

Is AppFolio a problem under the GDPR for a European landlord?

That depends on whether AppFolio is willing to sign a processing agreement and name its sub-processors and hosting regions. The pages read did not state hosting, and the privacy notice speaks of US states. A landlord who is a controller for tenants' data is the party who has to be able to answer a tenant or a regulator, so the missing detail lands on the landlord.

The European vendors here are not all clean either. Rentila discloses document backups at a US-owned storage provider in Paris, BailFacile hosts on a Luxembourg entity of AWS, and Landlord Vision and Reapit allow transfers that include the United States. What separates them from AppFolio is that they say so on the page.

Which one to pick

Choose by the country of the property and by whether you hold other people's money. A private landlord in France starts with Rentila or BailFacile, in Germany with Vermieter1, in the UK with Landlord Vision. A manager with owner accounts in Germany asks Immoware24 or DOMUS for a quote, and a UK agency with client accounts compares Arthur Online and Reapit. Housing associations start with Aareon.

Stay with AppFolio if your portfolio is American, if you rely on its leasing CRM or student housing modules, or if you are a multi-country operator who wants one US-built system and accepts its legal frame. Leave when your units are in Europe and your documents, tax rules and tenants are too. Leasily is the choice only when a payment log is all you need.

Frequently Asked Questions

There is no single one, because European rental law is national. For private landlords, Rentila (France, free for one lot), Vermieter1 (Germany, free for one unit) and BailFacile (France) are the closest in scope. For professional managers, Immoware24 and DOMUS cover Germany, Arthur Online and Reapit the UK, and Aareon serves housing companies across seven countries. Pick by the country of the property first.

AppFolio lists Core from $1.49, Plus from $3.20 and Max from $5.00 per unit per month, with a minimum spend and a 50-unit minimum on Core. Rentila charges EUR 59 or EUR 119 a year excluding VAT, Vermieter1 EUR 79 or EUR 179 a year, Arthur Online from 82.50 pounds a month for 55 units, and Landlord Vision from 19.97 pounds a month for four tenancies.

Nothing on its pricing page names a European market, German utility statements, French indices or UK compliance certificates, and the privacy notice cites US state laws. The European tools build those items in: Immoware24 lists GoBD accounting and DATEV export, Rentila handles IRL and ILC indexation, Landlord Vision tracks gas certificates and Making Tax Digital.

Often, but read each tool's hosting statement. Vermieter1 states Hetzner in Germany, Immoware24 ISO 27001 data centres in Germany, Leasily a Supabase database in Frankfurt and Rentila OVH in the EU. DOMUS, Aareon and Reapit did not state a hosting location on the pages read, so ask them before you sign.

For very small portfolios, yes. Rentila's free plan covers one lot with two tenants, and Vermieter1 is free permanently for one unit including the utility and heating cost statements. Neither handles client money or agency accounting, so they replace AppFolio only for an owner managing a single let.
