European Alternatives to Microsoft Viva Engage

Looking for a European alternative to Microsoft Viva Engage? Viva Engage is the communities and announcements part of Microsoft Viva, and its product page says community and conversation features come with Microsoft 365 enterprise and frontline plans while premium features need a Viva suite license. Microsoft's services agreement names Microsoft Corporation of Redmond, Washington as the contracting party for most services.

The European tools below reach staff who work shifts: Oneteam and Flip from the employee app, Speakap and Staffbase from the intranet, Shiftbase and CrewPlanner from the roster, and Teamwire and Threema Work from secure messaging.

How we rank these tools — 4-step process
  1. 1
    European ownership, verified

The company is headquartered and incorporated in the EU, EEA, the UK, Switzerland or Israel, and processes customer data in Europe or Israel. A US parent company disqualifies a tool from this page regardless of where its servers are.

  2. 2
    Category fit and hands-on review

What the tool actually does, who it suits, and where it falls short — checked against the vendor’s own documentation, changelog and pricing page rather than its marketing copy.

  3. 3
    Compliance and pricing check

GDPR posture, hosting location and the prices quoted on this page are verified against the vendor’s public pricing before publication, and re-checked when we revisit the category.

  4. 4
    Position on this page

Placement on this page can be paid, and that can affect which tools appear here and the order they appear in. It never buys a good review: a tool that fails the checks above is not here at any price, and payment does not change the shortcomings we write about. A vendor can ask us to correct a factual error — not to remove a criticism.

Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. Vendors can pay for more visibility, higher up on the review pages; it never affects which tools are listed. Editorial policy

Key takeaways

  • Microsoft Viva Engage is sold as part of Microsoft Viva, with community features inside Microsoft 365 enterprise and frontline plans and premium features behind a Viva suite license.
  • Oneteam is the alternative with the lowest published per-user price in euros, from EUR 1.49 per user per month, but every plan has a minimum of 100 users.
  • Teamwire is the only tool on this page that can also be installed on a customer's own servers, besides hosting on IONOS Cloud in Germany.
  • Flip, Staffbase and LumApps target large operators, and Staffbase and LumApps publish no price list at all.
  • Blink in London and Threema in Switzerland are outside the EEA, covered by EU adequacy decisions rather than by EU membership.

Why people leave Microsoft Viva Engage

Microsoft Viva Engage is the communities and announcements part of Microsoft Viva, the employee experience suite that Microsoft attaches to Microsoft 365. Its own product page says community and conversation features come with Microsoft 365 enterprise and frontline plans, while premium features such as company-branded employee apps need a separate Viva suite license. For an organisation that already runs on Microsoft 365, that makes it the default way to post company news and host open discussions.

The default is also where the questions begin. The contracting party for most Microsoft services under the Microsoft Services Agreement is Microsoft Corporation of Redmond, Washington, and enterprise contracts can name a regional Microsoft entity instead, which is worth checking in your own agreement.

A works council or data protection officer who wants staff messages and rosters to sit with a European provider, under a contract they can read in full, will want to compare before extending Viva to thousands of hourly workers.

The second reason is fit. Viva Engage assumes people spend their day inside Microsoft 365. Shop staff, drivers, nurses and kitchen crews often have no company mailbox, and the Viva pages we read say little about shift schedules, checklists or forms. The European tools listed here begin at the other end, with the phone, the shift and the site.

  • A Microsoft 365 licence is the entry ticket Viva Engage works best where staff already hold Microsoft 365 identities. Microsoft states that community and conversation features are included in enterprise and frontline plans and that premium features need a Viva suite license, bought by contacting a Microsoft representative. Employers whose hourly staff have no Microsoft account, or who do not want to license one per person, can instead start with Oneteam from EUR 1.49 per user per month or Blink from EUR 3.35.
  • The contract sits with a US parent company Microsoft names Microsoft Corporation of Redmond, Washington as the contracting party for most services in its services agreement. The European tools here sit with a named company in the EU, the UK or Switzerland: Oneteam B.V. in Rotterdam, Flip GmbH in Stuttgart, Teamwire GmbH in Munich. That does not settle every legal question, but the counterparty on the signature page is European.
  • Communities are not the same as a shift tool Viva Engage is built for open conversation and leadership posts. Frontline operations also need to know who works tomorrow, which checklist is open and whether a policy was read. Shiftbase, CrewPlanner, tamigo and Quinyx start from the roster, and Oneteam and Speakap put forms, onboarding journeys and read acknowledgement next to the news feed.
  • Price transparency differs by tool Viva is added through a Microsoft representative, so the cost for your organisation arrives as a quote. Some alternatives publish more: Oneteam, Blink, Teamwire and Shiftbase show prices in euros, and Flip shows a starting price per year. Others, such as Staffbase, LumApps and Speakap, work on quotes too, so the gain is not universal.

What you have to replace, not just match

Moving off Viva Engage means replacing three things rather than one. The first is the audience: who sees company news, and through which login.

Microsoft 365 identities are the quiet infrastructure under Viva, and a European app needs its own way to sign people in, either through single sign-on to your directory or through invitation codes. Teamwire supports LDAP and Active Directory, Speakap offers single sign-on on its higher plans, and LumApps is the exception that keeps your Microsoft 365 or Google Workspace and sits on top of it.

The second is the content. Announcements, old posts and community threads live inside Microsoft 365.

Decide before the switch what is worth carrying across: policies and handbooks belong in the new app or an intranet, while years of discussion threads usually do not need a new home. Staffbase and Flip are the tools on this page that publish to an intranet as well as the phone app, which helps if the Viva communities were doing the job of a company portal.

The third is what Viva never did for frontline staff and what you may now add: chat per shift or location, forms, checklists, training and the roster. Oneteam names Quinyx, Shiftbase, Workday, Loket.nl, AFAS, Kelio, Papershift and Tamigo among its integrations. If the rota is the system staff open first, a scheduler with chat such as Shiftbase may be a better first purchase than a communication app.

How each alternative compares to Microsoft Viva Engage

#1

Oneteam

A Rotterdam employee app with published prices, replacing Viva for hourly staff

Rotterdam, NetherlandsThree plans per seat each month (EUR 1.49, EUR 2.99, EUR 3.99), each with a floor of 100 users#1 in Frontline Employee Communication Apps

Best for: Employers with 100 or more hourly staff who want chat, forms and training in a single app.

Oneteam covers more of the working day than Viva Engage does for staff without a desk. Chat is organised by team, shift or location, and forms, checklists, onboarding journeys, short courses and surveys sit in the same app. Its price list is public: EUR 1.49, EUR 2.99 or EUR 3.99 per user per month, which is easier to budget against than an add-on arranged through a Microsoft representative.

The catch is scale and detail. Every plan has a 100-user minimum, connecting an existing integration partner costs a one-time EUR 500 and a new HR or roster integration EUR 2,500. The hosting provider is not named, only processing within the EU, and Oneteam has offices in Rotterdam and New York, so ask which entity signs your contract.

What Oneteam does better than Microsoft Viva Engage

  • Forms, checklists and onboarding journeys are part of the app
  • Plan prices are public in euros
  • Chat can follow shifts and locations
  • Contracting company is Oneteam B.V. with a Dutch register number

Where Oneteam is a step down from Microsoft Viva Engage

  • Minimum of 100 users on every plan
  • No open communities across a whole Microsoft 365 organisation
  • One-time fees for HR and roster connections

Standout against Microsoft Viva Engage. Oneteam is the only tool here that publishes three per-user plans with a stated user minimum.

Flip

A German employee app and intranet that states a price and its hosting regions

Stuttgart, GermanyGrowth for teams up to 300 employees from EUR 4,950 per year, platform plus bookable add-ons; Enterprise above 300 employees on a custom quote; not priced per seat#9 in Intranet & Employee Communication

Best for: Mid-sized and large operators of shop floors, warehouses and care settings needing an app plus intranet.

If you want Viva Engage together with a self-service portal for staff who never open a laptop, Flip is the nearest fit. One product holds the employee app, intranet, workflows, identity access and an HR portal where people fetch payslips and file leave. Its entry plan, Growth, is from EUR 4,950 a year covering up to 300 employees, a figure that Microsoft leaves off its public Viva pages.

On security, Flip lists ISO 27001 and SOC 2, with data held on Microsoft Azure in Frankfurt and Berlin. The regions are German, but the infrastructure owner is a US company, which blunts the jurisdiction case against Microsoft when Flip is the replacement; tools on a European cloud do better there. A free trial is not offered, only a pilot of several weeks on terms you agree, and the ROI numbers on its site come from the vendor.

What Flip does better than Microsoft Viva Engage

  • Entry price published: Growth at EUR 4,950 yearly
  • Hosting regions named, Frankfurt and Berlin
  • Employee HR self-service inside the intranet app
  • Uptime targets of 99.5 and 99.9 percent given

Where Flip is a step down from Microsoft Viva Engage

  • Infrastructure runs on Microsoft Azure
  • No free trial, only a negotiated pilot
  • Per-seat prices not published

Standout against Microsoft Viva Engage. Flip is the one that publishes a yearly entry price and builds HR self-service into the app.

Speakap

An Amsterdam frontline app strongest on read tracking, translation and certifications

Amsterdam, NetherlandsQuoted on request by plan and licensed employee count; minimum one-year contract

Best for: Retail, manufacturing and hospitality organisations with many languages and sites.

Speakap was designed for the shop floor: feed, one-to-one and group chat, events and read receipts target deskless staff and were not carried over from an office suite. The Premium tier adds branded apps, HR-system sync and machine translation covering over 100 languages, useful when a chain runs sites in several countries.

Speakap, operating out of Amsterdam since 2011, lists SOC 2 Type II and ISO 27001. Compared with Viva its drawbacks are about money and contract: there is no public price, a quote depends on the plan and the number of licensed employees, the term is at least a year, and single sign-on, advanced analytics and the integrations marketplace are reserved for the highest tier. Where the data is hosted is not given on the pages we read.

What Speakap does better than Microsoft Viva Engage

  • Built for deskless staff from the start
  • Read acknowledgement on news posts
  • Premium translates automatically into 100-plus languages
  • Both SOC 2 Type II and ISO 27001 listed

Where Speakap is a step down from Microsoft Viva Engage

  • No published price and a one-year minimum contract
  • Hosting location not stated
  • Key features reserved for the top tier

Standout against Microsoft Viva Engage. Speakap is the one with Employee Journeys, structured onboarding and training flows for hourly staff.

Staffbase

A Chemnitz platform that publishes once to app, intranet, email and signage

Chemnitz, GermanyCustom quote tailored to organisation size and channels (contact sales, no published price list)

Best for: Large organisations whose communications team serves frontline and desk staff together.

Staffbase tackles a job that Viva Engage hands to the wider Microsoft stack, namely reaching staff on many channels from a single editor. A headless CMS publishes to the phone app, an intranet page, email and digital signage, and analytics show who read which item. The vendor claims more than 1,500 enterprise customers on its tool page, a figure we have not verified.

The product is built for communication, not documentation, so document control is lighter than in a dedicated wiki, and self-hosting is not offered. Prices are not published; a quote comes after a sales call and depends on headcount and channels. The contracting company, Staffbase SE, sits in Chemnitz under HRB 36810, so a German entity signs with you.

What Staffbase does better than Microsoft Viva Engage

  • One editor for app, intranet, email and signage
  • Reach analytics per channel
  • German SE with a register number on the page

Where Staffbase is a step down from Microsoft Viva Engage

  • No published pricing
  • No self-hosting option
  • Heavy for small teams

Standout against Microsoft Viva Engage. Staffbase is the tool here with a headless CMS that also feeds digital signage.

LumApps

A French intranet layer that keeps Microsoft 365 or Google Workspace underneath

Tassin-la-Demi-Lune (Lyon), FranceCustom quote only; no published price list, priced per organisation (contact sales)

Best for: Large multi-language organisations that want to keep their productivity suite but change the front door.

LumApps is the least disruptive switch from Viva Engage, since it is designed to sit on Google Workspace or Microsoft 365 instead of replacing them. It adds AI-powered search, a knowledge engine and a frontline hub with shift updates, tasks and chat, and its page lists translation into more than 200 languages. Beekeeper is now part of LumApps.

That design has a consequence stated on its tool page: data residency depends partly on the Microsoft or Google tenant below. So LumApps does not by itself remove Microsoft from the data path. There is no price list, only a custom quote, and a five-person team will find it heavier than needed. The contracting entity is LumApps SAS near Lyon.

What LumApps does better than Microsoft Viva Engage

  • Keeps the existing suite and replaces only the front door
  • Frontline hub with shifts, tasks and chat
  • Translation into more than 200 languages

Where LumApps is a step down from Microsoft Viva Engage

  • Microsoft can remain in the data path
  • Custom quote only
  • Too heavy for small teams

Standout against Microsoft Viva Engage. LumApps is the one built to sit on top of Microsoft 365 rather than replace it.

Blink

A London mobile-first app with a self-service price list in euros

London, United KingdomCore EUR 3.35 per user per month billed annually (EUR 4.00 billed monthly), Pro EUR 4.20 (EUR 5.00), Enterprise on request; list prices are also shown in USD and GBP#11 in Intranet & Employee Communication

Best for: Retail, hospitality and care teams starting small and paying per seat.

With Blink a small business sees the cost up front and needs no sales call. Core is EUR 3.35 per user per month on annual billing or EUR 4.00 monthly; Pro is EUR 4.20 or EUR 5.00. The feed, mandatory reads, polls, stories, group chats and knowledge hub cover much of what Viva Engage does, and the pricing page points to a free way to try the product. Domino's, easyJet and the NHS appear as named customers.

For a buyer focused on jurisdiction the drawbacks stand out. An office of the same group, Blink Business Technologies Inc, is listed in New York, the infrastructure runs on Amazon Web Services without a region on the pages we read, and the UK sits outside the EEA, covered by an adequacy decision. Its security page does state ISO 27001.

What Blink does better than Microsoft Viva Engage

  • Per-user prices published in euros
  • Free way to try, per the pricing page
  • Chat, stories and recognition in one mobile app
  • ISO 27001 stated, with a public Trust Center

Where Blink is a step down from Microsoft Viva Engage

  • Runs on Amazon Web Services, region not named
  • UK entity outside the EEA, with a US subsidiary in the group
  • Enterprise terms need a sales conversation

Standout against Microsoft Viva Engage. Blink is the one alternative with a self-service tier priced in euros per user.

Teamwire

A Munich business messenger replacing chat groups, with on-premise hosting available

Munich, GermanySmall Business €79/month for up to 25 users / Standard €3.45/user/month (25–500 users), billed annually / Professional on request

Best for: Public safety, healthcare and other organisations that need chat on German or in-house servers.

Teamwire does not try to be a feed with communities. It is a business messenger with audit-proof archiving, LDAP and Active Directory, MDM integration and hosting in Germany on IONOS Cloud, either public or as a dedicated private cluster. For the part of Viva Engage that staff use as a conversation space, it offers a more controlled replacement.

Prices are stated: Small Business €79 a month for up to 25 users, Standard €3.45 per user per month for 25 to 500 users on annual billing, and Professional on request. A 15-day trial needs no credit card. Teamwire cites ISO 27001 and BSI C5 for the IONOS-hosted service, but it is unclear whether Teamwire or the data centre holds them, so ask which entity the certificate names.

What Teamwire does better than Microsoft Viva Engage

  • On-premise installation available
  • Hosting in Germany on IONOS Cloud
  • Audit-proof archiving built in
  • Flat €79 a month tier for up to 25 users

Where Teamwire is a step down from Microsoft Viva Engage

  • Messenger focus, no news analytics or communities
  • Certificate holder unclear
  • No free tier, only a 15-day trial

Standout against Microsoft Viva Engage. Teamwire is the only one where the servers can sit in the customer's own building.

Shiftbase

A Dutch scheduler with a free plan, useful where the roster is the main app

Zoetermeer, NetherlandsFree plan at EUR 0 for up to 15 employees; Basic EUR 30 per month including 6 employees plus EUR 4 per extra employee; Premium EUR 72 per month including 12 employees plus EUR 5 per extra employee; Enterprise EUR 336 per month including 48 employees plus EUR 6 per extra employee; 10% off with yearly billing; App Center+ integrations add-on EUR 20 per month#1 in Employee Scheduling

Best for: Hospitality, retail and care teams that want to see every price before talking to sales.

Shiftbase approaches the problem from the schedule. Employees clock in, swap or claim shifts and request time off in the iOS and Android apps, and news messages are included in the Free plan for up to 15 employees. That is a smaller promise than Viva Engage, but it is where hourly staff already look every day.

The price list is complete: Basic EUR 30 per month including 6 employees, Premium EUR 72 including 12, Enterprise EUR 336 including 48, with extra employees at EUR 4, EUR 5 and EUR 6. Payroll links to AFAS, Nmbrs, Loket, Exact Online and SD Worx need the App Center+ add-on at EUR 20 per month. Shiftbase states ISO/IEC 27001, but runs on Amazon Web Services and Google Cloud.

What Shiftbase does better than Microsoft Viva Engage

  • Free plan for up to 15 employees
  • Complete published price list
  • Clock-in, swaps and absence requests in the app
  • Payroll links to Dutch systems such as AFAS and Loket

Where Shiftbase is a step down from Microsoft Viva Engage

  • Communication is secondary, chat is early access per its pricing page
  • American cloud providers underneath
  • No communities or leadership posts

Standout against Microsoft Viva Engage. Shiftbase is the one with a free plan and a trust page that lists its subprocessors.

Threema

A Swiss messenger with a business edition, outside the EU by design

Pfaffikon, SwitzerlandCHF 4.99 one-time (mobile) / CHF 2/user/month (Work)#1 in Messaging Apps

Best for: Organisations that want anonymous, end-to-end encrypted chat for staff without phone-number sign-up.

Threema replaces the chat side of a frontline setup. Users get a random Threema ID instead of registering with a phone number or email address, messages and calls are end-to-end encrypted, and the apps are open source with published independent audits. Threema Work is the business edition, and the tool page lists it at CHF 2 per user per month.

Against Viva Engage this is a narrower product: no news feed with analytics, no communities, no forms. Threema AG is in Pfaffikon, Switzerland, which is outside the EU but covered by an EU adequacy decision, and the tool page reports Swiss hosting. The live Threema pricing page may show newer figures than the tool page, so confirm the plan price before quoting.

What Threema does better than Microsoft Viva Engage

  • No phone number or email needed to sign up
  • Open source with published audits
  • Swiss hosting and Swiss jurisdiction
  • Business edition with per-user pricing

Where Threema is a step down from Microsoft Viva Engage

  • Few extras such as integrations or sticker libraries
  • No news feed, communities or analytics
  • Smaller user base than the big messengers

Standout against Microsoft Viva Engage. Threema is the only one on this page that requires neither a phone number nor an email address.

CrewPlanner

An Antwerp planning tool for flexible workers, with chat as an add-on

Antwerp, BelgiumPer month with unlimited employees: Essential EUR 50 including 1 manager, Classic EUR 225 including 3 managers, Pro EUR 900 including 10 managers; extra managers EUR 50, EUR 75 and EUR 90 per month; assisted onboarding EUR 490#11 in Employee Scheduling

Best for: Hospitality, events and staffing agencies that schedule flexible and temporary workers.

CrewPlanner is a staffing tool more than a communication app. It handles onboarding of staff, documents, contracts, schedules, time registration, pay-outs and invoicing for flexible workers, and chat appears with the Classic plan. Compared with Viva Engage, it solves the logistics of temporary labour, which an enterprise communities product does not touch.

Pricing is by manager, because employees are unlimited: Essential EUR 50 per month including one manager, Classic EUR 225 including three, Pro EUR 900 including ten. Assisted onboarding costs EUR 490. The marketplace names Belgian links such as Dimona, Group S, Liantis and SD Worx. No hosting location or certification is stated on the pages checked. The site says CrewPlanner joined Securex Group in 2025.

What CrewPlanner does better than Microsoft Viva Engage

  • Unlimited employees on every plan
  • Contracts, documents and pay-outs for flexible workers
  • Belgian payroll links

Where CrewPlanner is a step down from Microsoft Viva Engage

  • Many team leaders raise the bill
  • No hosting location or certification stated
  • Communication is a side feature

Standout against Microsoft Viva Engage. CrewPlanner is built around flexible-worker contracts, Dimona declarations and pay-outs.

tamigo

A Copenhagen workforce scheduler priced per location, with minimal communication

Copenhagen, DenmarkEssential from EUR 15 per location per month, Standard from EUR 30 per location per month; Advanced and Premium on custom pricing#3 in Employee Scheduling

Best for: Retail and hospitality chains that staff each site with many part-timers.

tamigo is a roster product. Essential covers basic scheduling, daily timesheets, absence requests and a payroll export; Standard adds shift bids, shift exchanges and the mobile time clock. Communication gets a single line ("share news") on its site, so tamigo is the weakest of this list as a direct Viva replacement.

It makes sense where the bill should follow sites rather than headcount: from EUR 15 per location per month on Essential, from EUR 30 on Standard, with Advanced and Premium on custom pricing. tamigo states EU hosting without naming the provider, supports 20 languages and customers in 20 countries, and lists payroll integrations including ADP, DATEV, Visma, SD Worx and Zucchetti. API access begins in Advanced.

What tamigo does better than Microsoft Viva Engage

  • Per-location pricing suits many part-timers
  • EU hosting stated
  • Payroll links including DATEV and SD Worx

Where tamigo is a step down from Microsoft Viva Engage

  • Little communication functionality
  • Hosting provider and certifications not named
  • Advanced and Premium priced on request

Standout against Microsoft Viva Engage. tamigo is the one that charges per location rather than per employee.

Quinyx

A Stockholm workforce platform for large chains where rostering is the hard part

Stockholm, SwedenNo public pricing; custom quotes after a demo#16 in Time Tracking Software

Best for: National retail, logistics and hospitality operators with a sales-led buying process.

Quinyx deals with the staffing problem behind frontline communication: forecasting demand, building rosters and keeping them within labour law, rest-period rules and collective agreements. Time-and-attendance feeds payroll integrations, and compliance rules sit inside the scheduling engine rather than being checked afterwards.

It does not substitute for Viva Engage as a place for news and conversation, and Oneteam lists Quinyx among its roster integrations. Quinyx AB has operated from Stockholm since 2005. No price is public, quotes follow a demo, and its tool page calls it a poor fit for freelancers and small agencies. Treat it as the roster system your communication app connects to.

What Quinyx does better than Microsoft Viva Engage

  • Forecasting and schedule automation in one platform
  • Labour-law compliance rules built into the roster
  • Swedish company, EU jurisdiction

Where Quinyx is a step down from Microsoft Viva Engage

  • No public pricing, quote after a demo
  • Not a news or community tool
  • Sized for large workforces

Standout against Microsoft Viva Engage. Quinyx is the one that builds forecasts and labour-law rules directly into the rota.

What actually breaks when you switch

The practical breaks in a Viva Engage move are identity and reach.

Staff who signed in through Microsoft 365 need a new login, whether through single sign-on, an invitation or a code, and hourly workers who never had a company account will need onboarding to the app on a private phone. Plan a works council discussion early, since a phone app that shows rosters and messages is often a co-determination topic in Germany and the Netherlands. Expect a period when news is posted in both places.

The contractual breaks are smaller but real. Check the term and notice period of the Viva add-on with your Microsoft representative before committing a start date.

Integration fees differ: Oneteam charges a one-time EUR 500 for an existing partner and EUR 2,500 for a new HR or roster integration, and Shiftbase puts payroll links behind a EUR 20 monthly add-on. Content export deserves a test: ask each vendor how announcements and files arrive, and budget a pilot, since Flip, for one, offers only a few weeks on terms agreed individually.

Can I keep Microsoft 365 and still leave Viva Engage?

Yes, because Viva Engage is a feature layer on top of Microsoft 365, not the other way round. Email, Teams and file storage keep working if you stop using the communities.

The practical change is the audience: staff who only ever opened Viva for news can move to a phone app, while desk staff can stay where they are. Microsoft states that Viva is added to an enterprise subscription by contacting a Microsoft representative, so check the term and renewal date of that add-on before you plan the switch.

LumApps is the alternative designed for this situation, since it sits on Google Workspace or Microsoft 365 rather than replacing either. The trade-off, stated on its tool page, is that your data residency then depends partly on the tenant underneath. Flip and Staffbase run their own platforms and connect to Microsoft 365 for sign-in and content, so your Microsoft tenant stays but stops being the communication layer.

Which tool works for employees without a company email address?

Oneteam, Flip, Speakap, Staffbase and Blink are all phone apps built around that situation. Their tool pages describe people with no desk or company mailbox as the audience. Oneteam groups chat by team, shift and location, Speakap offers news with read acknowledgement and group chat, and Staffbase publishes once to the app, intranet, email and digital signage.

If even a company login is more than you can arrange, Teamwire and Threema are messengers first. Threema generates a random ID instead of asking for a phone number or email address, and Teamwire accounts can follow LDAP or Active Directory. Both give you chat, not a news feed with analytics, so they replace WhatsApp groups better than they replace Viva Engage.

Which one to pick

Choose according to who your workforce is. With 100 or more hourly employees and no company email for most of them, book demos with Oneteam and Flip first, adding Speakap when translation across many sites is the deciding factor.

A communications team that also owns an intranet and signage is a fit for Staffbase, and an organisation that wants to stay on Microsoft 365 or Google Workspace and swap only the front end is what LumApps is designed for. Blink suits a smaller operator wanting a published price.

If the real need is chat and control over servers, choose Teamwire or Threema. If the real need is the rota, begin with Shiftbase, tamigo, CrewPlanner or Quinyx and add a communication layer later. Staying on Viva Engage remains reasonable where your staff already live in Microsoft 365 and the included features cover your needs. Ask each vendor three questions before signing: which legal entity contracts, where the data is hosted, and what the exit looks like.

Frequently Asked Questions

It depends on the criterion. For a published per-user price in euros with a 100-user minimum, Oneteam. For a German app and intranet with a stated starting price, Flip. For a self-service tier, Blink. For a business messenger hosted in Germany or on your own servers, Teamwire. Speakap and Staffbase are the options for larger organisations that want news, read tracking and analytics, and both sell on quotes.

Partly. Microsoft states on its Viva Engage page that community and conversation features come with Microsoft 365 enterprise and frontline plans, while premium features need a Viva suite license. What your organisation pays depends on its Microsoft agreement, and Microsoft directs buyers to a representative for adding Viva, so ask for the figures in writing before comparing.

Only some do. Teamwire names IONOS Cloud in Germany and Flip names Microsoft Azure, in Frankfurt and Berlin. Oneteam says processing stays within the EU but not with whom, and tamigo says only that hosting is in the EU. Blink uses Amazon Web Services without a stated region, while Shiftbase combines Amazon Web Services and Google Cloud at an EU location. Request the subprocessor list from every vendor.

Shiftbase offers a free plan for up to 15 employees, but it is first a scheduler with news messages, not a full communication app. Teamwire Small Business is €79 monthly for up to 25 users. Blink begins at EUR 3.35 per user per month on annual billing. Oneteam costs less per user, yet a 100-user minimum puts it out of reach for most small teams.

For shift-based staff it can cover the daily need: who works when, swaps, absence requests and a message feed. Shiftbase, tamigo, CrewPlanner and Quinyx all start from the schedule, but their communication features are narrower. tamigo's own site mentions communication in a single line, for instance. Pair one of them with a communication app if you need company-wide news with read tracking.
