Why people leave Smartsheet
Smartsheet is the tool that proved a spreadsheet grid could run real project work. Rows become tasks, columns hold owners and dates, a Gantt view sits on the same data, and larger plans add portfolios, workload tracking and scenario planning on top. It earned its place by being familiar to anyone who has lived in Excel.
It is also a US company, Smartsheet Inc. of Bellevue, Washington, and since 22 January 2025 a privately held one: Blackstone and Vista Equity Partners completed their $8.4 billion acquisition and the shares stopped trading. The site terms are governed by Washington law, and its privacy policy relies on the EU-US Data Privacy Framework for transfers. Its pricing page lists no free plan, a 30-day trial, and puts portfolios and scenario planning on Enterprise and resource management as an add-on.
This page covers spreadsheet-style and Gantt-driven project work, resource planning and portfolios, not task boards in general. Eleven European tools answer different parts of it: two grid-first databases, three Gantt-led project tools, two capacity and portfolio planners, and four general project suites. None is a one-to-one copy.
- Private-equity ownership of a US company Smartsheet left the stock market in January 2025 and is now owned by Blackstone and Vista Equity Partners. Nothing on its site suggests your data is treated differently because of that, but an owner whose job is to raise returns on a fixed horizon is a fair reason to check how long today's terms and prices will last. The contracting company stays a US one under Washington law.
- The heavy features sit on the top plans On its pricing page Smartsheet includes Gantt in every paid plan, but workload tracking and the timeline view start at Business, portfolios and scenario planning are Enterprise only, and resource management is an add-on. A team that wants portfolio and capacity views is therefore buying the most expensive tier, and often needs a sales call to see the number.
- No free plan to grow into Smartsheet offers a 30-day trial and no free plan. What you have to replace, not just match
Sort your sheets by what they do. Task lists with dates and dependencies move into a Gantt tool (OpenProject, Teamwork, Twproject, Factro). Data-heavy sheets that are really small databases move into a grid tool (SeaTable, Baserow). Cross-project capacity and portfolio sheets are the hard part: they need Meisterplan, Ganttic or a higher awork plan, because that logic is what Smartsheet charges its top tiers for.
Export sheets to CSV or Excel first, because that is the part that moves cleanly. Formulas, cell links between sheets, automations and dashboards must be rebuilt, so pilot one live project in the new tool, with Smartsheet still running, before you cancel the contract.

OpenProject is made by OpenProject GmbH in Berlin, registered at the Amtsgericht Charlottenburg under HRB 117935 B. Its terms of service are governed by German law with Berlin as the place of jurisdiction. The software is licensed under the GNU GPL v3, so you can read, host and modify it.
The Community edition is free and has no user minimum. Enterprise plans are Basic at EUR 5.95, Professional at EUR 10.95 and Premium at EUR 15.95 per user per month, with minimums of 25, 25 and 100 users. Gantt charts are part of the paid plans, and the plan table lists resource management and portfolio management from Premium.
The cloud edition stores data in the EU or, on request, in Germany. It is a project tool rather than a spreadsheet, so a sheet-heavy team will need a few weeks to get used to work packages instead of rows.

SeaTable is a no-code database from SeaTable GmbH in Mainz, registered at the Amtsgericht Mainz under HRB 49723. It starts as a grid and adds Kanban, gallery, calendar and timeline views, and its homepage describes using Gantt charts and Kanban boards for project management.
The Free plan allows 25 users, 10,000 rows and 2 GB, and costs nothing. Plus is EUR 9 and Enterprise EUR 18 per user per month on monthly billing, and there are on-premises licences. The homepage says the cloud is hosted in Germany. We did not check which law governs its terms.
It does not have portfolios, baselines or dependency scheduling like a dedicated Gantt tool, so it fits lists, trackers and plans with a modest number of linked tasks.

Meisterplan is a product of itdesign GmbH in Tübingen, registered at the Amtsgericht Stuttgart under HRB 382021. Its EU terms are an agreement with itdesign GmbH under German law. itdesign was founded in 1999 and has offices in Germany, North America and India, including a US subsidiary in Seattle, so US customers may contract differently.
It does one job: project portfolio management with resource capacity planning, project lifecycle management, goals and what-if scenarios. Pricing is by resources, meaning the people you plan, and users are free and unlimited. The pricing page shows no amounts, and a 30-day trial runs with the Pro functionality and no card.
It is not a task manager or a spreadsheet, so teams still need a tool for daily work. Its footer lists ISO/IEC 27001:2022 and ISO/IEC 27018:2019 certificates.

We did not retrieve the legal entity name from the terms, so confirm it on your order.
The Free plan covers up to five users and five projects with Gantt and table views. Basics costs USD 9.99 and Accelerate USD 24.99 per user per month on annual billing, with minimums of 3 and 5 users. Workload and live capacity planning start at Accelerate, and Optimize adds role-based scheduling at a price on request.

Ganttic is run by GANTTIC OÜ, Vallikraavi 2, Tartu, Estonia, with registry code 11979702. The website terms are governed by Estonian law. The owners include its founders, and we found no acquisition. It runs on AWS in Frankfurt, according to its security page.
It is a Gantt-style resource planner: you schedule people, rooms, machinery and vehicles as resources on a timeline. Pricing is by the number of resources, users are unlimited, and the Free plan covers up to 10 resources with every feature except API access. Paid prices are not shown, and a 14-day trial has no resource limit.
It plans resources and does not manage tasks, documents or discussions, so it replaces the workload view of Smartsheet rather than the whole product.

Twproject is run by Twproject S.r.l., Via Venezia 18b, Florence. The product was first released in 2001, and its about page says it is owned by its three co-founders. We did not find a terms-of-service page, so the contract wording is unverified.
It plans projects on a Gantt chart integrated with time, workload and activities, and offers statistics across a portfolio of projects. Licences count enabled users, projects are unlimited, and you can run it on your own infrastructure or as a cloud service on a dedicated Amazon server.
The cloud pricing page shows no amounts and subscriptions run through PayPal, so ask for a quote.

Its terms are governed by Bulgarian law, and disputes go to arbitration at the Bulgarian Chamber of Commerce and Industry in Sofia, in Bulgarian. Eleven Ventures is listed as a backer, and we found no acquisition of Businessmap itself.
Its site offers Portfolio Workspaces that connect planning with execution across projects, on top of Kanban boards. There are two plans, Standard and Enterprise, and pricing is by seats with no amounts on the page. Enterprise adds a dedicated cloud instance.
It is built for flow-based work and enterprise agility, so teams that think in sheets and Gantt charts may find it a different model.

Plans are priced per user per month: Community EUR 3, Drive EUR 9, Projects EUR 12 and Suite EUR 15, with tasks, chat, calendar and documents in one workspace. Gantt appears in the site navigation as part of project planning.
It is a collaboration suite first, so resource and portfolio planning are not its focus. Its compliance pages list ISO/IEC 27001:2022, SecNumCloud and HDS.

What actually breaks when you switch
The hard part of leaving Smartsheet is not the rows, which export to CSV or Excel, but the logic around them. Cell links between sheets, formulas, automations, reports and dashboards do not carry across, and portfolios, scenario plans and resource views must be rebuilt in the new tool. Budget the work as a redesign of your process, not as a file conversion.
Decide first which job you are moving. A team using Smartsheet as a shared task list needs a Gantt tool and can move in days. A team whose sheets are really small databases should look at SeaTable or Baserow. A team that rolls projects up into portfolios and capacity views has the longest move, because Meisterplan or Ganttic will want your resource list and project data entered afresh.
Run the new tool in parallel for at least one project cycle. Most of the tools here have a free plan or a trial, so a pilot costs nothing. Keep Smartsheet running until the first portfolio review has been done in the new tool, then cancel before the annual renewal date.
Is there a European tool that works exactly like Smartsheet?

They do not offer Smartsheet's dependencies, baselines or portfolio roll-ups, so a schedule with many linked tasks belongs in a Gantt tool instead.
Does buying a European tool mean my data stays in Europe?
The contracting company is European in every entry here, and that is the requirement for this site. Where the data sits is a separate question. Ganttic says it runs on AWS in Frankfurt, SeaTable says Germany, OpenProject offers EU or German hosting for its cloud edition and can be self-hosted, and Wimi says France. For Teamwork, Baserow, Factro, awork, Meisterplan, Twproject and Businessmap we did not verify a hosting location, so ask.

If you want one tool for the schedule, resources and portfolios and you like open source, start with OpenProject. If your team lives in sheets, try SeaTable first, and use Baserow if you want an MIT-licensed core you can host. If your real need is capacity and portfolio planning across many projects, ask Meisterplan and Ganttic for a trial with your own data.

Be realistic about the gap. Smartsheet is a mature product, and none of these eleven replaces all of it.
