European Physiotherapy Practice Software Tools

Physiotherapy practice software handles appointments, treatment notes, billing and often home exercise programmes for clinics. Because it stores health records, the contracting entity and the hosting region matter. The European tools below are run by companies in the UK, Germany, Norway and the Netherlands, and several state UK or EU data centres.

How we rank these tools — 4-step process
  1. 1
    European ownership, verified

The company is headquartered and incorporated in the EU, EEA, the UK, Switzerland or Israel, and processes customer data in Europe or Israel. A US parent company disqualifies a tool from this page regardless of where its servers are.

  2. 2
    Category fit and hands-on review

What the tool actually does, who it suits, and where it falls short — checked against the vendor’s own documentation, changelog and pricing page rather than its marketing copy.

  3. 3
    Compliance and pricing check

GDPR posture, hosting location and the prices quoted on this page are verified against the vendor’s public pricing before publication, and re-checked when we revisit the category.

  4. 4
    Position on this page

Placement on this page can be paid, and that can affect the order tools appear in. It never buys a listing: a tool that fails the checks above is not here at any price, and payment does not change the shortcomings we write about. A vendor can ask us to correct a factual error — not to remove a criticism.

Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. Vendors can pay for more visibility, higher up on the review pages; it never affects whether a tool is listed. Editorial policy

Key takeaways

  • Physitrack ranks first in this directory because Physitrack PLC of London combines a library of 18000+ exercises, a patient app, telehealth and a newly launched EMR at $18.99 per practitioner a month.
  • Only two of the twelve tools here are priced in euros or sit in the EU: PraxiPro in Berlin at €10 per practitioner and Fysio Manager in Heerenveen, which publishes no amount.
  • PPS states UK or EU data centres in its terms, WriteUpp states Dublin and Amsterdam, and PracticePal states Rackspace servers in London, which makes three tools with a named storage location.
  • Smilenotes costs £5 a month and Rehab Guru £10, while PracticePal charges £25 for its core system and £3 for each extra module.
  • Physica in Norway and Fysio Manager in the Netherlands are the two tools built for national reimbursement, with Helfo settlement and Dutch declarations respectively.

European physiotherapy practice software is the diary, treatment-note, billing and exercise-prescription system a physiotherapy clinic runs on, supplied by a company in the UK or the EEA, which matters because the system holds health records and the contracting entity, the court and the data centre decide who can reach them.

#1 Physitrack

London, United Kingdom Standard plan $18.99 per practitioner per month or $227.88 per practitioner per year (page lists USD); Enterprise for 20+ practitioners on request; 2-week free trial; founding members get 30% off for 12 months if they sign up before 1 January 2027 Demo on request

Best for: Physiotherapists who prescribe exercise to patients between visits and want one vendor for programmes, telehealth and records

  • Operating company. Physitrack PLC
  • Jurisdiction. United Kingdom (adequacy decision, outside the EEA)
  • Where the data sits. Hosting region depends on the customer's contracted service region; Amazon Web Services provides EMR hosting and storage
  • Source code. Closed source
  • Replaces. Jane App

Physitrack is the exercise-prescription platform from Physitrack PLC, which gives a London address on Aldersgate Street. A therapist builds a programme from a library of 18000+ exercises and sends it to the patient's phone through the free Physiapp. Telehealth, progress tracking and remote therapeutic monitoring sit on the same platform.

The company is registered in England with Companies House number 8106661, plus an ICO registration and a UK VAT number in the imprint. The EMR with scheduling, charting and an AI scribe is newly live, so billing depth is unproven. Standard is $18.99 per practitioner a month, in dollars, and the privacy policy names Amazon Web Services as host.

What Physitrack does well

  • UK company with Companies House number published in the imprint
  • Library of 18000+ exercises and a free patient app
  • Telehealth and remote therapeutic monitoring on the same platform
  • Public per-practitioner price and a 2-week free trial
  • AI scribe listed with the new EMR

Where Physitrack falls short

  • EMR is newly launched, so depth of billing and insurance features is unclear
  • Pricing page is in US dollars and does not split EMR from exercise pricing
  • Hosting and AI processing run on Amazon Web Services
  • Separate US and outside-USA versions of the terms apply

Standout feature. Physitrack is the one tool here that started from home exercise programmes and then added a clinic record.

#2 PPS (Private Practice Software)

Burton-on-Trent, United Kingdom PPS Express from £16.80 per user per month; PPS Advanced £50 a month plus £25 per additional user; PPS Onsite £35 a month plus £15 per additional user; 30-day free trial without a card; UK VAT extra Demo on request

Best for: UK and Irish clinics that want published prices, concurrent-user pricing and the option of a local install

  • Operating company. Rushcliff Ltd
  • Jurisdiction. United Kingdom (adequacy decision, outside the EEA)
  • Where the data sits. Terms state all PPS servers are housed in UK or EU-based data centres
  • Source code. Closed source
  • Replaces. Jane App

PPS is the practice software from Rushcliff Ltd, whose address is Granary Wharf in Burton-on-Trent. PPS Express covers scheduling, payments, notes, treatment history and reminders at £16.80 per user a month. PPS Advanced adds room management, multiple locations, waiting lists and third-party billing.

Users are priced concurrently while named users stay unlimited, so a clinic of part-timers pays for simultaneous logins only. The terms say all servers sit in UK or EU data centres, and an appointed agent runs the hosted service. PPS Onsite is a local install from £35 a month. PPS Scribe AI is free for up to 3 consultations a week.

What PPS (Private Practice Software) does well

  • Public monthly prices in pounds
  • Concurrent-user pricing with unlimited named users
  • UK or EU data centres stated in the terms
  • Offline PPS Onsite option
  • Free 30-day trial without a card

Where PPS (Private Practice Software) falls short

  • Online booking costs extra
  • UK VAT is added to all prices
  • Hosting involves an appointed agent
  • Site copy covers many disciplines rather than physiotherapy alone

Standout feature. PPS prices by concurrent logins, which a clinic of part-timers can use to cut its bill.

#3 WriteUpp

Chester, United Kingdom Flex from $34.95 a month per user; Solo $49 a month; team plan with extra users at £15, £12 or $18 each depending on size; online booking add-on $7.95 per clinic per month; 30-day free trial (page showed dollar prices) Demo on request

Best for: Small physiotherapy and therapy practices that want EU-stored data and a free trial before choosing a plan

  • Operating company. Pathway Software (UK) Limited

Where WriteUpp falls short

How do I choose physiotherapy practice software for a small clinic?

Start from the work you do all day. A clinic that mostly prescribes home exercise should look at Physitrack and Rehab Guru, which began with exercise libraries of 18000+ and 5000 items. A clinic that mostly needs a diary, notes and invoices should look at PPS, WriteUpp or PracticePal.

Then check the size of the practice. Smilenotes and Rehab Guru suit one or two practitioners, PPS counts concurrent users, and Pabau and Semble are built for several practitioners and several services.

Finally, test the country fit. PraxiPro, Physica and Fysio Manager are written for German, Norwegian and Dutch rules, and the English-language tools are not.

What do European physiotherapy systems cost?

The published entry prices run from £5 a month for Smilenotes Lite to $18.99 per practitioner for Physitrack, £16.80 per user for PPS Express, €10 per practitioner for PraxiPro and kr. 769 per user for Physica. Medesk starts free with 2 users and 50 appointments a month.

Each vendor counts something different. PPS counts concurrent users, Medesk counts blocks of 50 appointments, Fysio Manager counts full-time equivalents, and PracticePal counts modules at £3 each. Compare the bill for your own diary and staff, not the headline figure.

Add the extras. Rehab Guru charges £5 for booking and £5 for notes on Basic, WriteUpp charges $7.95 per clinic for online booking, and Physica lists e-resept at kr. 242. Several vendors add UK VAT to the figure.

Where is physiotherapy patient data stored in European software?

WriteUpp states Dublin and Amsterdam in its privacy policy, PPS states UK or EU data centres in its terms, and Smilenotes states UK and EU data centres on its site. Pabau keeps UK customers' data in London, and PracticePal names Rackspace UK Ltd in London.

Physitrack's privacy policy names Amazon Web Services as the host and says the region follows the customer's contract. Medesk, Semble, Rehab Guru, PraxiPro, Physica and Fysio Manager state no hosting region on the pages we read, so ask them before signing.

Nine of the twelve tools contract through UK companies that rely on the UK adequacy decision. That is a lawful basis for transfers from the EU, not EEA membership.

How do I move from Jane App to a European system?

Begin with the export. Ask Jane for a sample file with appointments, notes and invoices, because the pages we read do not describe the formats. Then give that file to the vendor you shortlist and ask for a trial import.

PraxiPro lists CSV and Excel import of patient data, WriteUpp lists data migration, and Fysio Manager mentions conversions from other Dutch systems. Run the old and new diaries side by side for a few weeks.

Plan for what has no equivalent. Jane sells payroll and a website builder, and none of the twelve tools here lists either.

When should a clinic stay on Jane App?

A Canadian clinic has little reason to move, because Jane Software Inc. is a Canadian company and its terms follow the law of British Columbia. The same holds for a clinic that uses Jane's payroll, insurance billing and marketing tools together.

A clinic outside Europe also gains little. Physica and Fysio Manager serve only their own national markets, and Pabau and Semble lean toward the UK.

A European clinic should move when the contract, the currency or the national billing format causes work every month.

Do these tools integrate with exercise libraries, accounting and national health networks?

Physitrack and Rehab Guru carry their own exercise content. Rehab Guru lists FHIR and HL7 integrations on Enterprise, and Semble connects to labs, pharmacies and AI scribes and offers an NHS GP record viewer through ORB Connect.

Physica lists NHN messaging inside the journal and several accounting integrations. Fysio Manager lists the MijnZorgtoegang patient portal and FM-VideoConsult for video visits.

Smilenotes, PracticePal and PraxiPro describe no integrations on the pages we read.

How we selected and ranked these 12 tools

Every tool on this page is in the European Purpose directory, which means the operating company is established in Europe and we have verified that from the company register or the vendor's own legal notice rather than from a marketing page. Tools headquartered outside Europe are not eligible, however good they are.

  1. Feature verification (weight: 40%). We check each capability against the vendor's own documentation and product pages, and record what the tool does rather than what the category is assumed to include.
  2. Ease of adoption (weight: 30%). Integrations, published API access, trial availability and how much configuration stands between signing and a usable result.
  3. Value and transparency (weight: 30%). Published pricing counts in a vendor's favour; quote-only pricing is recorded as quote-only rather than estimated. We weigh what a buyer gets for the entry price, not the headline feature count.
  4. Editorial review. Every page is researched and drafted with AI assistance, and the compliance and pricing claims are checked against the vendor's documentation before it is published under the founder's editorial responsibility. The three weights above decide the order; a position is a ranking against the other European tools in this category, not an absolute score.

Vendor-reported outcomes — ROI figures, margin uplift, time saved — are labelled as vendor claims wherever they appear on this page. We have not audited them, and neither has anyone else who quotes them. Read our full editorial process for how pages are re-verified.

Frequently asked questions

There is no single winner, since the answer depends on the criterion. Physitrack ranks first here for exercise prescription plus a clinic record, PPS and WriteUpp are the closest full clinic systems in English, and PraxiPro, Physica and Fysio Manager fit Germany, Norway and the Netherlands.

Medesk has a free plan with 2 users, 1,000 patient records and 50 appointments a month. The others offer trials: 30 days for PPS, WriteUpp and Smilenotes, one month for PracticePal, 14 days for PraxiPro and 2 weeks for Physitrack.

WriteUpp states Dublin and Amsterdam, PPS states UK or EU data centres, and Smilenotes states UK and EU data centres. PraxiPro and Fysio Manager are EU companies, but neither names a hosting region on the pages we read.

Physitrack lists 18000+ exercises with a free patient app, and Rehab Guru lists 5000 exercises with HD video and a branded client portal. Both add clinic functions, Physitrack through a newly launched EMR and Rehab Guru through Pro.

Fysio Manager from Heerenveen covers Dutch declaring and invoicing, with NEN 7510 and ISO/IEC 27001 stated. Physica from Seljord covers Helfo and insurer settlement and NHN messaging. Both sites are in the local language only.

Smilenotes starts at £5 a month, Rehab Guru at £10, PraxiPro at €10 per practitioner and PPS Express at £16.80 per user. All are lower than Jane's Balance plan at CAD $59, though they cover fewer functions.
