European Membership Management Tools

Membership management software keeps member records, collects dues and donations, runs events and talks to members by email or app. Clubs, associations, charities and sports bodies hold names, addresses and payment details of many people, so the contracting entity and the data location matter more than they do for a tool used by staff alone. The tools below are run by companies in Germany, Switzerland, Austria, the UK, Norway, Ireland and France.

How we rank these tools — 4-step process
  1. 1
    European ownership, verified

The company is headquartered and incorporated in the EU, EEA or Switzerland, and processes customer data in Europe. A US parent company disqualifies a tool from this page regardless of where its servers are.

  2. 2
    Category fit and hands-on review

What the tool actually does, who it suits, and where it falls short — checked against the vendor’s own documentation, changelog and pricing page rather than its marketing copy.

  3. 3
    Compliance and pricing check

GDPR posture, hosting location and the prices quoted on this page are verified against the vendor’s public pricing before publication, and re-checked when we revisit the category.

  4. 4
    Position on this page

Placement on this page can be paid, and that can affect the order tools appear in. It never buys a listing: a tool that fails the checks above is not here at any price, and payment does not change the shortcomings we write about. A vendor can ask us to correct a factual error — not to remove a criticism.

Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. Paid placement can affect the order in which tools appear; it never affects whether a tool is listed. Editorial policy

Key takeaways

  • easyVerein of Freiburg ranks first among the ten European membership tools in this directory, because it combines member records, accounting, a calendar, voting and an app with a server location in Germany stated by the vendor.
  • ClubDesk and Vereinsplaner are the two tools with a standing free plan that carries real club work, ClubDesk for up to 50 members and Vereinsplaner with unlimited members but only 5 accounts and 1 group.
  • Campai charges 30 EUR a month for up to 100 members with unlimited users, while Hivebrite starts at $895 a month, so the price span inside this category is wider than 25 to 1.
  • Hosting is documented unevenly: Vereinsplaner names Hetzner in Germany and Sportlomo names AWS in Ireland and Germany, whereas Campai, Verein.cloud and Beacon CRM state no hosting region on the pages reviewed.
  • Spond, Sportlomo and Cobot each serve one niche (sports teams, governing bodies and coworking spaces), so Wild Apricot users outside those fields will find their match among the first seven tools.

European membership management software is the cloud tooling that clubs, associations, charities and sports bodies use to keep member records, collect dues, run events and communicate with members, supplied by a company established in the EU, the UK, Switzerland or Norway, which matters because a member list is personal data that falls under the vendor's own national law and supervisory authority.

Beacon CRM is made by Beacon Apps Ltd, registered in England and Wales under number 11097096 and, according to its about page, founded in 2017 in Shoreditch, London, with a team of more than 50. The front page splits its features into raising funds (donations, memberships, tickets) and helping others (case management, grant making), so a membership scheme is one module inside a charity database and not the whole product.

Starter begins at 37 GBP a month for 500 to 2,000 contacts, 3 users and 10 read-only users, and Standard at 127 GBP for 2,500 to 50,000 contacts and 10 users; annual billing saves 10%, and platform fees on payments are 0%. Beacon states ISO 27001:2022 and Cyber Essentials Plus. The pages we read do not name a hosting region, and data may leave the UK under safeguards.

The vendor says it serves over 500 sports organisations in more than 30 countries, which is a vendor claim. How do I choose between club software and an association CRM?

Start from the money. A club that collects annual dues by direct debit, books them against a ledger and hands the figures to a tax adviser needs a different tool from a charity that tracks donors, tickets and casework. easyVerein, Campai, Vereinsplaner and Verein.cloud are built around the first pattern, with dues files, reminders and bookkeeping close to the member record.

Beacon CRM and Hivebrite sit on the other side. Beacon puts memberships, donations and tickets into a single supporter database priced by contacts and users, and Hivebrite adds chapters and tiered dues for large networks. If your members are people you also fundraise from, begin there, and if they are people who pay a yearly fee and show up on Saturday, begin with the club tools.

How do the pricing models of European membership tools differ?

The unit that gets counted is the first thing to compare. ClubDesk bills by plan with member caps (Free for 50, then CHF 13 to CHF 41 a month), easyVerein by licence size and feature level, Campai by member band, Beacon CRM by contacts and users in pounds, and Cobot by paying members. Vereinsplaner sets no member limit at all and lets accounts, groups and storage differ per plan.

Then look at what sits outside the headline. Campai charges payment fees on top of 30 EUR, Verein.cloud asks for twelve months paid upfront, easyVerein offers monthly billing only with direct debit, and Cobot lists an External Bookings add-on at 19 EUR a month. Sportlomo and the upper Hivebrite tiers publish nothing and start with a call. Write down your member count and your three busiest months before asking for quotes.

Where is member data stored, and does it matter?

It matters most for a club whose members are minors, patients or political supporters. Vereinsplaner states Hetzner in Germany, easyVerein states a German server location, ClubDesk lists a Zurich host, and Sportlomo says AWS data centres in Ireland and Germany with retention in the EU. Those four give you a place to point to in a data processing agreement.

The others say less. Campai names Microsoft services with US processing under standard contractual clauses, Spond lists processors in the US, Cobot stores at an AWS entity in Luxembourg but notes US processing for some services, and Hivebrite publishes a sub-processor list with EU and non-EEA regions. Ask each vendor for the hosting region of the member database itself, not of its website.

How hard is it to move off Wild Apricot or MemberClicks?

The data is the easy part. Member lists leave as spreadsheets and most tools here import them, with easyVerein listing data import and export and a REST API, and Campai offering full API access. Expect custom fields, membership levels and event history to need hand mapping, and test the import on the free tiers of ClubDesk, Vereinsplaner or Verein.cloud before you commit.

Payment relationships are harder. Stored cards and mandates stay with the old processor, so members have to authorise again, and a club website built on the old platform has to be rebuilt or replaced. Run the two systems side by side for one billing cycle and cancel only after the first dues run has gone through on the new tool.

When should a small organisation not switch?

When the all-in-one English-language package is the thing you actually use. Wild Apricot bundles website, shop, events and email under one login, and most European tools here are German-language and narrower. An English-speaking society of a few hundred members with a working website and no pressure on data location may reasonably stay put and revisit at the next price change.

Do move if your members are mainly in Germany, Austria or Switzerland, if your treasurer wants SEPA files and DATEV handover, or if a board member has asked where the member list is hosted and nobody could answer. Those are the situations where the European club tools solve a problem you already have.

Which tool fits a sports club, a federation or a coworking space?

A single team or youth section that needs availability answers and parent payments can run on Spond, which the vendor says is free for group admins. A club with several sections and a treasurer should look at the club suites first, because Spond lists no member directory or accounting in the material we reviewed.

A national body that registers players, runs competitions and handles safeguarding across affiliated clubs is the use case for Sportlomo. A coworking operator who bills members, books rooms and controls doors is the use case for Cobot, which counts only paying members and not visitors.

How we selected and ranked these 10 tools

Every tool on this page is in the European Purpose directory, which means the operating company is established in Europe and we have verified that from the company register or the vendor's own legal notice rather than from a marketing page. Tools headquartered outside Europe are not eligible, however good they are.

  1. Feature verification (weight: 40%). We check each capability against the vendor's own documentation and product pages, and record what the tool does rather than what the category is assumed to include.
  2. Ease of adoption (weight: 30%). Integrations, published API access, trial availability and how much configuration stands between signing and a usable result.
  3. Value and transparency (weight: 30%). Published pricing counts in a vendor's favour; quote-only pricing is recorded as quote-only rather than estimated. We weigh what a buyer gets for the entry price, not the headline feature count.
  4. Editorial review. Every page is researched and drafted with AI assistance, and the compliance and pricing claims are checked against the vendor's documentation before it is published under the founder's editorial responsibility. The three weights above decide the order; a position is a ranking against the other European tools in this category, not an absolute score.

Vendor-reported outcomes — ROI figures, margin uplift, time saved — are labelled as vendor claims wherever they appear on this page. We have not audited them, and neither has anyone else who quotes them. Read our full editorial process for how pages are re-verified.

Frequently asked questions

It depends on the organisation. For German-speaking clubs, easyVerein (Freiburg), ClubDesk (Basel), Campai (Berlin) and Vereinsplaner (Linz) are the strongest fit, with easyVerein ranked first for combining member records, accounting and an app. UK charities should compare Beacon CRM from London, and associations with alumni networks should compare Hivebrite from Paris.

Three have a standing free tier. ClubDesk Free covers up to 50 members, Vereinsplaner Free allows unlimited members with 5 accounts and 1 group, and Verein.cloud Free offers member records and roles. Spond is free for group admins according to the vendor, and easyVerein offers a demo licence instead of a permanent free plan.

Vereinsplaner Pro at 12.42 EUR a month (149 EUR a year) and ClubDesk S at CHF 13 a month are the lowest paid entries on the pages we read. easyVerein Office follows at 15.30 EUR including VAT, Verein.cloud PRO at 19.90 EUR, and Campai at 30 EUR for up to 100 members. Each plan has different member and module limits.

Vereinsplaner names Hetzner GmbH in Germany, easyVerein states a server location in Germany, ClubDesk lists Nine Internet Solutions in Zurich, and Sportlomo says AWS in Ireland and Germany. Campai, Verein.cloud, Beacon CRM and Spond do not state a hosting region for the member database on the pages we read.

Beacon Apps Ltd is registered in England and Wales and based in London, so it is a UK company, and the UK is outside the EU but has an adequacy decision for data transfers. This directory counts the UK as European. Hosting region is not stated on the pages reviewed, so EU buyers should ask for it in the contract.

Sportlomo from Castlebar, Ireland is built for governing bodies, with registration, competitions, safeguarding and payments on one platform, and states EU data retention. Spond covers team scheduling and payments for individual groups. German-speaking federations with dues and bookkeeping needs can also compare easyVerein, Campai and Vereinsplaner.
