European Tour and Activity Booking Software Tools

Tour and activity booking software lets operators sell tours, excursions and experiences online, manage availability and resources, and distribute inventory to resellers and travel sites. A European option matters because bookings, guest contact data and payment flows then run through a contracting entity in the EU, Switzerland or the UK, with fee models that are visible in advance.

How we rank these tools — 4-step process
  1. 1
    European ownership, verified

The company is headquartered and incorporated in the EU, EEA, the UK, Switzerland or Israel, and processes customer data in Europe or Israel. A US parent company disqualifies a tool from this page regardless of where its servers are.

  2. 2
    Category fit and hands-on review

What the tool actually does, who it suits, and where it falls short — checked against the vendor’s own documentation, changelog and pricing page rather than its marketing copy.

  3. 3
    Compliance and pricing check

GDPR posture, hosting location and the prices quoted on this page are verified against the vendor’s public pricing before publication, and re-checked when we revisit the category.

  4. 4
    Position on this page

Placement on this page can be paid, and that can affect the order tools appear in. It never buys a listing: a tool that fails the checks above is not here at any price, and payment does not change the shortcomings we write about. A vendor can ask us to correct a factual error — not to remove a criticism.

Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. Vendors can pay for more visibility, higher up on the review pages; it never affects whether a tool is listed. Editorial policy

Key takeaways

  • Regiondo ranks first in this directory because the Frankfurt vendor pairs a flat monthly fee with no booking commission and lists website builder, Touch POS and ticket scanning in one product.
  • CaptainBook, from Naxos in Greece, is the only vendor here that publishes a 0% fee on offline and direct online bookings together with three euro plans from €49 a month.
  • Ventrata asks $575 a month for its Standard plan, the highest entry price in this list, and in return includes kiosk, ticket POS and retail POS in every plan.
  • Resamare names OVH in Roubaix as its host in the terms, while TrekkSoft, TourCMS, TuriTop and most other vendors here state no hosting location on the pages we read.
  • Bookwhen, Planyo and Bookinglayer are not day-tour tools: Bookwhen sells dated class sessions, Planyo rents resources and Bookinglayer sells beds with activities.

European tour and activity booking software is the reservation, availability and payment system that tour guides, boat operators, attractions and outdoor schools use to sell tickets online, built by a vendor with a contracting entity in Europe. The European part matters because the system holds guest names, contact details and payment references, and the vendor named in your contract decides which law and which sub-processors apply to them.

How do I choose tour booking software for a small operator in Europe?

Start from where your bookings come from, because the fee model follows the channel. An operator that sells mostly on its own website should compare CaptainBook (0% on direct bookings, from €49 a month) with Regiondo (a flat fee, no commission). An operator that depends on resellers should look at bookingkit, TourCMS and TuriTop first.

Then check the size limits. CaptainBook Starter stops at ten experiences and one resource, TourCMS Small stops at 30 bookings a month, and Planyo PRO includes three resources. A tool that fits today can force an upgrade after one busy season.

Finally, match the product to the activity. Resamare only serves sea trips, bookingkit leans toward attractions, YoPlanning toward outdoor schools and guides, and Ventrata toward large ticketed sites. Choosing a vendor that already knows your activity saves configuration time.

What does European tour booking software cost, and which pricing model is cheapest?

Four pricing models appear in this category. Flat monthly fees without commission are used by Regiondo, Bookinglayer and Resamare (from 115 € excl. VAT a month on an annual licence). Plan plus per-booking fee is used by TrekkSoft, YoPlanning, Ventrata and TourCMS. Percentage lines per tier appear at TuriTop. Planyo offers either a CHF 29 flat plan or a commission of 0.5% to 1.5%.

Entry prices differ widely. TrekkSoft, CaptainBook and bookingkit start at €49 a month, TourCMS at $49, YoPlanning at $19 after a free Discovery plan with a 5% booking fee, and Ventrata at $575. Bookwhen has a free plan for 50 bookings a month and paid plans of €12, €19 and €39.

The cheapest model depends on volume. A small operator with few bookings gains from a percentage model, while a busy operator gains from a flat fee. Regiondo, TuriTop and Bookinglayer did not show full plan amounts on the pages we read, so request quotes before comparing totals.

Are European tour booking tools GDPR-compliant, and where is my data hosted?

Seven of the twelve vendors are established in the EU: Regiondo and bookingkit in Germany, CaptainBook in Greece, TuriTop in Spain, YoPlanning and Resamare in France, and Bookinglayer in the Netherlands. TrekkSoft, TourCMS and Planyo are Swiss, which has an EU adequacy decision, while Ventrata and Bookwhen are British and covered by the UK adequacy decision.

Hosting is the weak point of the category. Only Resamare names a host, OVH in Roubaix, France. bookingkit names Google Cloud EMEA Limited in Dublin for storage and communication, and Ventrata lists secure cloud hosting without a place. For the others, the pages we read state no data location, so ask for it in writing and for a data processing agreement.

Certifications are rare too. Bookwhen states ISO 27001:2022 and Cyber Essentials Plus. None of the other tour vendors listed a security certificate on the pages we read.

How do I migrate from FareHarbor to a European tool?

Begin with an inventory of what FareHarbor does for you: online booking, point of sale, payments, agent sales, staff management and the mobile app. Then map each item to a European tool. Regiondo, TrekkSoft and Ventrata list point of sale, CaptainBook and YoPlanning list a mobile app, and TourCMS, TuriTop and bookingkit list resellers or distribution.

Run the old and the new system in parallel for the first weeks. Future bookings stay tied to the old confirmation emails, so set a cut-over date, migrate one product first, and keep the old account read-only until the last booked tour has run.

Read the FareHarbor provider terms, API fee terms and performance marketing terms before you cancel, because notice periods sit there. The European vendors support the move with demos: every tool on this page offers a demo on request, and CaptainBook offers a 14-day trial.

When should I not switch away from my current tour booking system?

Stay put if you use the full breadth of a large platform. A business that needs point of sale, agent sales, staff management and a mobile app in one product will not find all four in a single tool among the smaller European vendors, and Ventrata is the only one that includes kiosk and retail POS in every plan.

Stay put during peak season. Moving booking widgets, payment settings and OTA connections takes weeks, and a failed cut-over costs more than a fee saving. Plan the switch for the quiet months and test with one product first.

Stay put if your supplier terms bind you. Tools such as Planyo, Bookwhen and Bookinglayer solve different problems, and moving to a tool built for another activity creates new gaps.

Which European tour booking tools connect to GetYourGuide, Viator and other OTAs?

CaptainBook names GetYourGuide, Viator, GTTD and Project Expedition and charges €14.99 per product and month for each of those connections, plus 3.5%, 3% or 2.5% on other OTA channels. TrekkSoft charges 3% or €0,50 per OTA booking. TuriTop states a channel manager with 70+ OTAs.

Resamare lists a channel manager that shares stock with GetYourGuide and Tripadvisor, and YoPlanning, bookingkit, Regiondo and Ventrata list channel management or OTA connections too. Planyo only offers two-way iCal sync, so it is no OTA tool. Compare the connection fees with your channel mix before you decide.

How we selected and ranked these 12 tools

Every tool on this page is in the European Purpose directory, which means the operating company is established in Europe and we have verified that from the company register or the vendor's own legal notice rather than from a marketing page. Tools headquartered outside Europe are not eligible, however good they are.

  1. Feature verification (weight: 40%). We check each capability against the vendor's own documentation and product pages, and record what the tool does rather than what the category is assumed to include.
  2. Ease of adoption (weight: 30%). Integrations, published API access, trial availability and how much configuration stands between signing and a usable result.
  3. Value and transparency (weight: 30%). Published pricing counts in a vendor's favour; quote-only pricing is recorded as quote-only rather than estimated. We weigh what a buyer gets for the entry price, not the headline feature count.
  4. Editorial review. Every page is researched and drafted with AI assistance, and the compliance and pricing claims are checked against the vendor's documentation before it is published under the founder's editorial responsibility. The three weights above decide the order; a position is a ranking against the other European tools in this category, not an absolute score.

Vendor-reported outcomes — ROI figures, margin uplift, time saved — are labelled as vendor claims wherever they appear on this page. We have not audited them, and neither has anyone else who quotes them. Read our full editorial process for how pages are re-verified.

Yes. Regiondo, TrekkSoft, CaptainBook, bookingkit, TourCMS, TuriTop, YoPlanning, Ventrata, Bookinglayer and Resamare all name a contracting entity in Europe and cover booking, resources and channels. Regiondo states a flat monthly fee and no commission, Resamare states an annual licence at 0% commission, and CaptainBook charges 0% per booking on offline and direct online channels. Bookinglayer uses a fixed monthly fee. Check OTA fees separately, because CaptainBook, TourCMS and TrekkSoft charge for connected channels.

YoPlanning has a free Discovery plan with a 5% booking fee, Bookwhen has a free plan for 50 bookings a month, and Planyo gives free months without rentals and a 30-day trial. CaptainBook offers a 14-day free trial. The other tools offer a demo on request.

Regiondo lists a Touch POS with ticket scanning, TrekkSoft a point of sale with mobile POS, and Ventrata ticket POS, retail POS and a self-service kiosk in every plan. TuriTop offers a check-in app with QR validation. TourCMS, Bookinglayer and Resamare showed no point of sale on the pages we read.

Resamare names OVH in Roubaix, France, as its host. bookingkit names Google Cloud EMEA Limited in Dublin for storage and communication. For the other tools the pages we read state no hosting location, so ask each vendor for it in writing.
