European Alternatives to Vagaro

Looking for a European alternative to Vagaro? Vagaro is provided by Vagaro, Inc. in the United States, according to its privacy policy and user agreement, and card payments run through Vagaro Merchant Services, a registered ISO of PNC Bank, N.A. How we rank these tools — 4-step process
  1. 1
    European ownership, verified

The company is headquartered and incorporated in the EU, EEA or Switzerland, and processes customer data in Europe. A US parent company disqualifies a tool from this page regardless of where its servers are.

  2. 2
    Category fit and hands-on review

What the tool actually does, who it suits, and where it falls short — checked against the vendor’s own documentation, changelog and pricing page rather than its marketing copy.

  3. 3
    Compliance and pricing check

GDPR posture, hosting location and the prices quoted on this page are verified against the vendor’s public pricing before publication, and re-checked when we revisit the category.

  4. 4
    Position on this page

Placement on this page can be paid, and that can affect which tools appear here and the order they appear in. It never buys a good review: a tool that fails the checks above is not here at any price, and payment does not change the shortcomings we write about. A vendor can ask us to correct a factual error — not to remove a criticism.

Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. Paid placement can affect which tools appear here and the order they appear in. Editorial policy

Key takeaways

  • Vagaro's User Agreement, dated 3 September 2025, authorises use of its services only in the United States, Canada, Australia and the United Kingdom.
  • Vagaro's UK pricing page shows £20 per month, with £30 beside it, for one bookable calendar, and its FAQ prices each extra calendar licence at $10 (US) up to seven.
  • Vagaro Merchant Services is described on Vagaro's own site as a registered ISO of PNC Bank, N.A. in Pittsburgh.
  • Phorest, Salonized, Shore and Planity contract from Ireland, the Netherlands, Germany and France respectively, so a dispute stays inside the EU.
  • Fresha and Treatwell are London companies, which means the United Kingdom's adequacy decision, not EU membership, supports data flows to them.

Why people leave Vagaro

Vagaro is salon, spa and wellness software from Vagaro, Inc. in California, and the product is built around one idea: a single account for the diary, the till, the client file and a consumer listing. Its UK pricing page puts the calendar, payments, memberships, packages, gift certificates, waitlists, loyalty, inventory and a marketplace listing in the same bundle, with Vera, its AI assistant, layered on top for marketing and filling gaps in the diary.

For a business in continental Europe the first friction is not a feature but the paperwork. The User Agreement is issued by Vagaro, Inc. and says its services are currently authorised only in the United States, Canada, Australia and the United Kingdom.

The privacy policy, last updated on 16 December 2025, is written for Vagaro Inc. and its affiliates, lists government identification numbers among the data it can collect from account holders and describes some advertising disclosures as possible sharing or selling under privacy laws.

Salon owners in Ireland, the Netherlands, Germany, France and Spain also run into smaller things: card payments run through Vagaro Merchant Services, which the site footer calls a registered ISO of PNC Bank, N.A. in Pittsburgh, prices appear in dollars in the FAQ, and the consumer marketplace that Vagaro advertises was built around American, Canadian, Australian and British shoppers. That gap is what the eleven tools below fill.

  • Not offered in most of Europe Vagaro's own User Agreement lists four authorised jurisdictions: the United States, Canada, Australia and the United Kingdom. No EU member state appears. A salon in Lyon or Leipzig can still find a sign-up form, but the contract and the support hours sit elsewhere, and a supervisory authority in your own country has little to say about a California company. Phorest, Salonized, Shore and Planity contract from inside the EU.
  • The privacy policy is built for a US business Vagaro's policy covers advertising technology, identifiers such as a signature or a driver's licence number, and recordings of onboarding calls. It points European residents to their data protection authority for complaints and says retention lasts as long as an account is active. Those are workable terms, yet the framing is American, and a controller in the EU has to read it with Chapter V of the GDPR in mind. A European vendor removes that homework.
  • Payments are tied to a US bank Vagaro Merchant Services is, according to the site footer, a registered ISO of PNC Bank, N.A. The pricing page promises a free card reader when you sign up for it. Switching means swapping the acquirer as well as the software, and your European tools are priced differently: Fresha lists 1% plus €0.20 online, Salonized sells its terminal from €199 with a 1.0% fee, Shore and Phorest quote their own hardware.
  • Seat pricing that suits one size of business A licence for each bookable calendar costs $10 (US) beyond the first, up to seven, according to Vagaro's FAQ, after which extra staff add nothing. That favours a ten-chair salon and penalises nobody much. Smaller shops want a flat tier or a free plan instead, which is where Reservio, SimplyBook.me and Bookitit sit, and teams that want unlimited seats from day one look at Phorest.

What you have to replace, not just match

The diary is the easy part of a move. The harder inventory is everything Vagaro folds in around it: SOAP notes and intake forms for treatment businesses, a consumer listing and Daily Deals, memberships and gift certificates sold online, a branded app, QuickBooks and Xero links, a customer messenger, and for multi-site owners the flagship syncing, access levels, payroll and SSO with SCIM. Write down which of those you use weekly before you shortlist anything.

Client history needs a plan. Vagaro says its onboarding team migrates data and that a transfer typically takes one to two business days, but that service points inward: moving out, you depend on exports and on whatever import the new vendor offers. Salonized says it can import a customer database and product list from other salon software, and Phorest and Fresha both ask you to talk to them first, so send each candidate a sample export before you commit.

Marketing and demand matter more than most buyers expect. If new clients arrive through Vagaro's marketplace today, no software swap reproduces that overnight. Planity, Salonkee and Treatwell bring their own consumer networks in France, Luxembourg and across the markets Treatwell covers, while Phorest, Shore and the booking-first tools bring tools for your own promotion instead.

How each alternative compares to Vagaro

#1

Phorest

The nearest European copy of Vagaro's all-in shape, with quotes instead of a price list

Dublin, IrelandStarter, Grow, Ultimate and Elite plans, all quoted on request (see vendor website)#1 in Salon Booking Software

Best for: Multi-chair salons and aesthetic clinics wanting till, stock and rebooking campaigns from an Irish vendor

Against Vagaro, Phorest swaps a per-calendar licence for a plan ladder of Starter, Grow, Ultimate and Elite where every plan lists unlimited staff and devices. That removes the arithmetic of adding a stylist. The cost is transparency: each plan ends in a request for a quote, so you cannot set a number beside Vagaro's £20 until a salesperson answers.

The feature overlap is large. Phorest lists deposits at booking, SMS and email reminders, client cards, memberships, rostering, point of sale with stored-card checkout, stock control and PhorestPay terminals. Its Ultimate plan adds a branded app, a counterpart to Vagaro's, and the privacy notice places EU data inside the EU on AWS.

What Phorest does better than Vagaro

  • Staff count does not move the price on any plan
  • Contracting entity sits in Dublin, inside the EU
  • Marketing automation is the vendor's stated specialty
  • Stated EU data location on its privacy notice

Where Phorest is a step down from Vagaro

  • No published prices at all
  • No consumer marketplace on the pages checked
  • Built for three or more staff, heavy for a solo stylist

Standout against Vagaro. Phorest is the only tool here that combines unlimited seats with EU-held data and a marketing-first product.

Fresha

The only alternative with a full public price list in euros, but a UK entity

London, United Kingdom€14.95 per month for an independent, €9.95 per bookable team member per month on the Team plan, plus card and message fees (pricing page, shown in euros)#2 in Salon Booking Software

Best for: Hair and barber businesses wanting seat-based pricing they can read before booking a call

Fresha is what Vagaro's pricing page is not: a table with euros on it. €14.95 per month covers an independent, and €9.95 per month per bookable team member covers a team, with an Enterprise tier above 20 members. Where Vagaro stops charging after seven calendars, Fresha keeps counting, so a large shop should model both before deciding.

Payments carry visible fees, such as 1% plus €0.20 online and terminals from €119, and add-ons are priced apart (AI Concierge at €94.95 per location per month). The contracting party is Fresha.com SV Limited in London, so you leave a US jurisdiction for a UK one, and the privacy notice describes processing in several countries, not one region.

What Fresha does better than Vagaro

  • Prices stated in euros on a server-rendered page
  • Facebook, Instagram and direct-link bookings carry no fee
  • No fee on returning marketplace clients
  • ISO 27001 listed on its pricing page

Where Fresha is a step down from Vagaro

  • Per-seat cost keeps rising where Vagaro's licences cap
  • Processing spans several countries, including the United States
  • One-time marketplace fee on new clients is not quantified

Standout against Vagaro. Fresha is the one alternative whose entire fee schedule is readable before you speak to anyone.

Salonized

A simple Dutch agenda that lets you test every Pro feature first

Amsterdam, Netherlands14-day free trial with all Pro features; plan prices see vendor website; Salonized Pay terminal from €199 plus 1.0% transaction fee; SMS from €0.11#3 in Salon Booking Software

Best for: Small and mid-sized salons, barbershops and pet groomers wanting a quiet agenda and an optional Treatwell link

Salonized answers Vagaro's 30-day trial with 14 days of every Pro feature, no card and no setup fee, and monthly cancellation after that. Plan amounts did not render in the text we checked, so the monthly comparison with Vagaro's £20 has to wait for the vendor's own page. Add-ons are visible, though: the terminal from €199 plus 1.0% and SMS credits from €0.11.

Salonized B.V. sits in Amsterdam at Vijzelstraat 79 and was founded in 2015, but the footer reads Treatwell Salonized NL B.V., so the product belongs to the Treatwell group. If you want marketplace reach, the add-on charges 35% on new Treatwell bookings plus 2% on prepaid ones. The pricing FAQ also says a customer database and product list can be imported from other salon software.

What Salonized does better than Vagaro

  • Imports clients and products from other salon software
  • Trial includes every Pro feature without a card
  • Dutch contracting entity and monthly cancellation

Where Salonized is a step down from Vagaro

  • Plan prices were not visible in the text checked
  • Owned within the Treatwell group, linking software and marketplace

Standout against Vagaro. Salonized is the only tool here that states an import path from competing salon software on its pricing page.

Shore

A Munich till-plus-booking system for walk-in and regular-client businesses

Munich, GermanyPer location, per month#5 in Appointment Scheduling Software

Best for: Hairdressers, beauty and tattoo studios and physiotherapists tied to a single location

Shore prices per location per month, not per calendar, which reverses Vagaro's logic: the bill follows sites rather than people. The vendor describes it as a Munich platform with German hosting, so a studio with several chairs gains a flat structure, while a business with many sites pays for each one. Exact amounts are not listed on the pages we checked.

Bookings arrive from a website, Google, Instagram and a customer app. Customer records keep visit history, and reminders, newsletters and campaigns run automatically. The till takes card payments, though terminals and processing cost extra. Shore also serves physiotherapists and tattoo studios, which is a wider net than Vagaro's salon and spa focus, and it lists no stock module.

What Shore does better than Vagaro

  • Priced per location, so extra staff do not raise the bill
  • Munich company with German hosting
  • Booking, payment and customer record share one system

Where Shore is a step down from Vagaro

  • Hardware and card processing are extra
  • Priced per location, so multi-site chains pay repeatedly
  • No marketplace and no published amounts

Standout against Vagaro. Shore is the tool here priced by location instead of by calendar.

Planity

A French consumer network that replaces Vagaro's marketplace role

Paris, FranceSubscription for salon and beauty professionals; pricing available on demo request#12 in Appointment Scheduling Software

Best for: Hairdressers and beauty salons in France who want clients who are already searching

Planity SAS in Paris was created in 2016 according to the French business register, and its offer is a marketplace first and a diary second. Vagaro's listing and Daily Deals target shoppers in markets where Vagaro is authorised; Planity targets French shoppers who open the app to book a haircut. If most of your new clients come from search, this is the swap that matters.

The rest is ordinary salon software: calendar, online booking, client files and reminders. Pricing is not published, access is arranged through a demo, and the network is concentrated in France with a smaller presence in Belgium and Germany. It covers beauty and hairdressing only, so a physiotherapist or personal trainer should look elsewhere.

What Planity does better than Vagaro

  • Brings consumers who are already searching for salons in France
  • Free for clients to search and book
  • French company registered in Paris, inside the EU

Where Planity is a step down from Vagaro

  • Pricing available only through a demo
  • Reach is concentrated in France
  • Multi-site features such as payroll or SSO are not described on the pages checked

Standout against Vagaro. Planity is the tool here whose main product is the consumer network, with the software attached.

Treatwell

A marketplace-plus-diary bundle that bills by commission, not by seat

London, United KingdomFree to start; commission on a new client's first appointment, repeat bookings commission-free (see vendor website for rates)#6 in Salon Booking Software

Best for: Salons that accept a finder's fee on new clients in return for marketplace demand

Treatwell Limited, registered in England under number 06457679 at 6 St Andrew Street in London, runs the Treatwell Connect diary and a booking marketplace that the vendor says covers 15 countries. Starting is free, and commission applies to a client's first appointment only, with repeat bookings commission-free. Vagaro's pricing page runs the other way, with a monthly fee per calendar and the marketplace listing named as part of the bundle.

The partner page lists Treatwell Pay and an AI Receptionist beside the diary. Payments go through Stripe, and the privacy policy describes transfers to the United States with safeguards. The commission rate did not read cleanly in the text we checked, and ownership of Treatwell Limited is not stated, so confirm both with the sales team before comparing totals.

What Treatwell does better than Vagaro

  • No licence fee to start, so low upfront cost
  • Large consumer marketplace across many European markets
  • Repeat bookings carry no commission

Where Treatwell is a step down from Vagaro

  • Commission on every new client adds up quickly
  • Card payments pass through a US processor
  • The diary and marketplace are sold as one commercial offer

Standout against Vagaro. Treatwell is the tool here that pays for itself only when it delivers new clients.

Salonkee

A small cross-border marketplace with a published entry price

Luxembourg, LuxembourgStart package from €49/month; Plus and Business packages priced on request#14 in Appointment Scheduling Software

Best for: Salons in Luxembourg, France, Belgium or Germany wanting a calendar, website and some demand

Salonkee S.A. in Luxembourg (RCS B207855) lists a Start package from €49 per month that covers a calendar, a website, online booking and a waiting list. Plus adds point of sale and inventory, Business adds marketing and staff-access controls, and both are priced on request. A salon that needs a till has to move up from the entry tier, unlike Vagaro, where payments sit in the base bundle.

The marketplace spans four countries, but its reach in France is smaller than Planity's. Payments are a separate module that adds terminals, cancellation and no-show policies, and online gift card and subscription sales. A website builder and caller-ID are optional add-ons. The focus is beauty and hairdressing, not general appointments.

What Salonkee does better than Vagaro

  • Entry package price is published
  • Marketplace covers four countries
  • Website builder offered as an add-on

Where Salonkee is a step down from Vagaro

  • Point of sale starts at Plus, priced on request
  • Smaller French reach than Planity
  • Payments are a separate add-on module

Standout against Vagaro. Salonkee is the only Luxembourg company among the eleven.

SimplyBook.me

A booking website with payments, priced by volume rather than staff

Limassol, CyprusFree tier + per booking volume#4 in Appointment Scheduling Software

Best for: Salons, studios and clinics without a decent website that want one account for pages and payments

SimplyBook.me from Limassol gives each customer a full booking website, not only a widget, and the tier structure depends on booking volume and features, not on calendars. For a shop with many part-time stylists that removes Vagaro's seat count altogether, and the free tier with a monthly allowance lets you test it with real clients.

Payments, deposits, memberships, packages, gift cards and class bookings are built in, with reminders by email and SMS. What it lacks is the salon-specific tooling around the till: no stock-heavy retail and no treatment notes are named on the page. The interface carries a lot of options, and volume pricing needs watching when bookings rise.

What SimplyBook.me does better than Vagaro

  • Free tier and volume-based pricing instead of per-calendar licences
  • Customers get a full booking website
  • Class and group bookings are included

Where SimplyBook.me is a step down from Vagaro

  • No salon-focused stock or treatment-note features listed
  • Dense interface and add-ons that accumulate
  • Less control for large chains than TIMIFY

Standout against Vagaro. SimplyBook.me turns the booking page into the whole online presence.

TIMIFY

A multi-branch scheduler for organisations, not an individual salon

Munich, GermanyFree tier + per resource, per month#3 in Appointment Scheduling Software

Best for: Chains, retailers and banks that book people, rooms and equipment across many sites

TIMIFY, a Munich company, aims at the part of Vagaro that most salons never use: multi-location control. It manages services, opening hours and rules centrally while local staff run their own diaries, with permissions, branding and reporting across branches. Vagaro answers this with flagship syncing, access levels and SSO with SCIM, and the two are closer in that corner than anywhere else.

Pricing starts with a free tier for a single calendar, then scales per resource per month, with enterprise plans quoted individually. For a one-shop salon the platform is more than needed, and complex resource rules take setup time. There is no point of sale on the pages we checked.

What TIMIFY does better than Vagaro

  • Central rules with local diary control across many branches
  • Free tier for a single calendar
  • German company with German hosting

Where TIMIFY is a step down from Vagaro

  • More platform than a single salon needs
  • Per-resource pricing scales with every location
  • No salon retail or marketplace features

Standout against Vagaro. TIMIFY is the only tool here designed first for organisations with hundreds of branches.

Reservio

A free plan that grows into paid ones, closest to a solo start on Vagaro

Brno, Czech RepublicFree plan; Starter, Standard and Pro plans priced per month plus VAT (amounts see vendor website)#10 in Salon Booking Software

Best for: Solo stylists and small salons wanting a free plan with room to add paid features later

Reservio, s.r.o. in Brno (business ID 293 76 033) lists a Free plan of 40 bookings per 30 days and 100 clients, with a booking website and apps for web, Android and iOS. Starter allows 200 bookings, Standard 500 plus memberships, credit and visit passes and a custom domain, and Pro allows unlimited bookings, multi-level user access and API integrations. Vagaro's pricing page offers a 30-day trial.

The product is general: beauty and wellness sit next to fitness, health and education in 14 languages. Paid amounts and the hosting region did not render in our text, the page showed dollar fees for payments, and there is no stock-heavy retail. Reservio says it belongs to the Abugo group.

What Reservio does better than Vagaro

  • A permanent free plan next to the paid ones
  • Czech contracting entity with 14 languages
  • Memberships and passes from the Standard plan

Where Reservio is a step down from Vagaro

  • Booking caps on lower plans
  • General booking tool, with less salon-specific depth
  • Hosting region and paid prices not readable in our text

Standout against Vagaro. Reservio is the tool here whose free plan is capped by bookings and clients, not by time.

Bookitit

A bare per-calendar agenda with WhatsApp reminders

Valencia, SpainPriced per calendar: €15.90 per month (€190.80 per year) shown for one calendar, VAT excluded; 15-day free trial#11 in Salon Booking Software

Best for: Small hairdressers and beauty centres needing an agenda and reminders, and nothing else

Bookitit, from Nubesis, S.L. in Valencia, prices exactly the way Vagaro does at the entry level: per calendar, where a calendar is an employee, room or machine. It shows €15.90 per month (€190.80 per year) for one, VAT excluded, with a 15-day trial. The currencies differ, so compare at the checkout and not from the headline numbers.

Clients book through a widget on a website, Instagram, Facebook or Google Business, or by link or QR code. Reminders go out by email, SMS and WhatsApp, a channel that Vagaro's pricing page does not mention. The Multicenter version runs one account per centre. No point of sale, stock control or marketplace is listed, so this is a replacement for the agenda only.

What Bookitit does better than Vagaro

  • WhatsApp confirmations and reminders
  • Simple price that is easy to forecast
  • Multicenter accounts for small groups

Where Bookitit is a step down from Vagaro

  • No point of sale or stock
  • Cost rises with each calendar added
  • No marketplace and no disclosed hosting region

Standout against Vagaro. Bookitit is the tool here that sends WhatsApp reminders as a headline feature.

bookitit.com Visit Bookitit

What actually breaks when you switch

Plan the cut-over around the till and the card terminal. Vagaro's payments run through Vagaro Merchant Services, so a move usually means a new acquirer, new hardware or a re-paired reader, and a short period when open tabs, gift certificates and prepaid packages exist in two systems. Settle these balances before closing the old account, and tell clients which gift certificates carry over.

Expect to rebuild automation and rhythm. Reminder timing, review requests, loyalty points, Vera-driven campaigns and any Daily Deals disappear with the contract, and staff spend a week re-learning shortcuts. Run both systems side by side for a fortnight if the vendor allows, and ask for the new tool's sub-processor list and data location in writing during the trial.

Can a salon in the EU legally use Vagaro?

Vagaro does not forbid it in so many words, but its User Agreement names only four jurisdictions as currently authorised, and none of them is an EU country. The privacy policy has a section for individuals in the EU, UK and Switzerland, so European data subjects are anticipated, yet a salon that becomes the data controller for its clients still has to work out the transfer basis for data held by a US company.

The cleaner route is a vendor that signs a data processing agreement as an EU entity. Phorest states that data of people located in the EU is held in the EU on Amazon Web Services, which is the strongest wording among the tools checked for this page. Others, including Salonized and Reservio, did not state a hosting region on the pages we read, so ask before you sign.

Is Vagaro cheaper than the European tools?

On paper Vagaro looks inexpensive: £20 a month for one bookable calendar on the UK page, an all-in bundle, and a free card reader on activation of its merchant services. The sums then depend on size. The FAQ caps per-calendar licences at seven, so a large team pays little more than a mid-sized one, whereas Fresha charges €9.95 per bookable team member per month with no stated cap below its Enterprise tier of more than 20.

For a solo professional the European free plans change the picture. Reservio offers a Free plan of 40 bookings per 30 days, SimplyBook.me has a free tier, and Bookitit starts at €15.90 per month for one calendar. For a team of eight, Phorest's unlimited staff may undercut a per-seat model, but you only learn that from a quote.

Which one to pick

If you want the same all-in structure and are prepared to request a quote, start with Phorest, and read Fresha's price list next to it to see what a published tariff would have cost. Choose Shore if you work from one or two sites with walk-ins, and Salonized if you want a calm agenda with a long trial and an import from your old software.

If new clients matter more than software features, Planity (France), Salonkee (Luxembourg and neighbours) or Treatwell (many markets, commission on first visits) bring consumers. If you are a solo professional, begin with Reservio's free plan, SimplyBook.me's free tier or Bookitit's single calendar, and keep TIMIFY for organisations with many branches. Stay with Vagaro if you are in a market it covers and you rely on SOAP notes, payroll or its data lake.

Frequently Asked Questions

For a salon that wants the same all-in shape, Phorest from Dublin is the closest match, with booking, till, stock and marketing, and Fresha from London is the nearest on published pricing. Shore in Munich suits walk-in businesses, Planity and Salonkee bring marketplaces, and Reservio, SimplyBook.me and Bookitit suit the smallest shops. The right pick depends on team size and whether you need new-client demand.

Planity in France, Salonkee across Luxembourg, France, Belgium and Germany, and Treatwell, which the vendor says operates in 15 countries, all bring consumers. Fresha has an optional marketplace with a one-time fee on brand new clients, and Salonized can link to Treatwell as an add-on. Phorest, Shore, TIMIFY and Bookitit list no marketplace.

Vagaro's site describes data transfer into its platform and does not explain export, so ask support for a file of clients, appointments, packages and memberships before you cancel. Then check what the new vendor imports. Salonized says it imports customer and product lists from other salon software, and the other vendors will want to see a sample file.

Yes. Fresha lists online payments at 1% plus €0.20 and in-person payments at 0.89% plus €0.10, with terminals from €119. Salonized Pay starts at €199 plus a 1.0% fee, Phorest sells PhorestPay terminals, Shore includes card payments in the till, and Treatwell offers Treatwell Pay. Bookitit and TIMIFY list no point of sale.

A booking tool is enough if you only need an agenda and reminders. Reservio, SimplyBook.me, TIMIFY and Bookitit are general-purpose, so retail stock, treatment notes and loyalty rewards are thinner or absent. Choose a salon-specific tool such as Phorest, Salonized, Shore or Fresha if you sell products at the till or run a membership programme.
