European Facility Management Software

Facility management software (CAFM, and at larger scale IWMS) keeps the records of buildings, assets, maintenance jobs, suppliers, compliance checks and space. That data describes how an organisation runs its property, so contracting with a vendor under EU, UK or Swiss law is a sensible requirement. The European tools below range from Nordic and Dutch platforms for large portfolios to UK and Austrian systems for smaller estates.

How we rank these tools — 4-step process
  1. 1
    European ownership, verified

The company is headquartered and incorporated in the EU, EEA, the UK, Switzerland or Israel, and processes customer data in Europe or Israel. A US parent company disqualifies a tool from this page regardless of where its servers are.

  2. 2
    Category fit and hands-on review

What the tool actually does, who it suits, and where it falls short — checked against the vendor’s own documentation, changelog and pricing page rather than its marketing copy.

  3. 3
    Compliance and pricing check

GDPR posture, hosting location and the prices quoted on this page are verified against the vendor’s public pricing before publication, and re-checked when we revisit the category.

  4. 4
    Position on this page

Placement on this page can be paid, and that can affect the order tools appear in. It never buys a listing: a tool that fails the checks above is not here at any price, and payment does not change the shortcomings we write about. A vendor can ask us to correct a factual error — not to remove a criticism.

Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. Vendors can pay for more visibility, higher up on the review pages; it never affects whether a tool is listed. Editorial policy

Key takeaways

  • Planon, from Nijmegen in the Netherlands, has the widest scope of the ten: an IWMS spanning property, workplace, maintenance and energy, with lease accounting and a campus offer on top.
  • London-based FaultFixers alone shows a price list, at £35 and £50 per paid user per month, and lets any number of reporters join free.
  • Granlund Manager (Helsinki) prices by the number of properties, modules and integrations, and CAFM Systems (REDIX, Vienna) states unlimited users on SaaS or private cloud.
  • Facilitor (Enschede) is operated by Aareon Nederland B.V. and Vantify CAFM (London) is a subsidiary of Charis Four, so two of the ten tools sit inside larger groups.
  • ISO 27001 is claimed by REDIX and Infraspeak. None of the vendors names a hosting region, though Infraspeak places its hosting in the EU on Amazon Web Services.

European facility management (CAFM) software covers the systems that record buildings, assets, maintenance jobs, suppliers and sometimes space and leases for the people who run property, and a European vendor matters because the contract, the support and the stored building data then sit under EU, UK or Swiss law.

#1 Granlund Manager

Helsinki, Finland Based on number of properties, modules and integrations; no price list on the page Demo on request

Best for: Real estate owners and operators managing many properties

  • Operating company. Granlund Oy
  • Jurisdiction. EU (Finland)
  • Where the data sits. No region given in the material read
  • Source code. Closed source
  • Replaces. Archibus, IBM TRIRIGA, MRI CenterStone

Granlund Manager has a core plus four selectable modules (Maintenance, Capital Planning, ESG and Construction Projects), letting an owner begin with the maintenance records of a few buildings and later add the investment plan and the sustainability reporting. Inspections, reports and integrations are listed alongside, and the vendor describes it as cloud SaaS.

The software comes from Granlund Oy, with a Helsinki address in its privacy policy, and the group lists offices in Finland, Sweden and the UK. The vendor states that pricing follows the number of properties, modules and integrations, but publishes no amounts and no hosting region. The group's consulting arm makes it a natural pick for owners who want advice with the software.

What Granlund Manager does well

  • Core plus selectable modules
  • Capital planning and ESG next to maintenance
  • Pricing follows properties and modules
  • Finnish company with offices in Finland, Sweden and the UK
  • Group also offers consulting

Where Granlund Manager falls short

  • No published prices
  • Hosting region absent from the sources read
  • Heavier than needed for a small maintenance team
  • Module scope needs a demo to confirm

Standout feature. Only Granlund Manager keeps capital planning and ESG reporting in one core with maintenance.

#2 CAFM Systems (REDIX)

Vienna, Austria Not published Demo on request

Best for: Austrian and German-speaking facility operators

  • Operating company. CAFM Systems GmbH
  • Jurisdiction. EU (Austria)
  • Where the data sits. No region given in the material read
  • Source code. Closed source
  • Replaces. Archibus, IBM TRIRIGA, MRI CenterStone

CAFM Systems (REDIX) is the Vienna-based CAFM that CAFM Systems GmbH offers as SaaS or private cloud with an unlimited number of users. REDIX Mobile covers work orders, checklists and photo documentation for technicians, including offline, and add-ons handle reservations of parking and rooms, help desk requests and mobile capture of building data with barcode scanning.

ISO 27001 is claimed by the vendor. The reference list is Austrian, with an insurer, a telecom operator, a bank and a medical university, the earliest dating from 2006. The company also sells services and 3D scans. No prices are published, the site is mostly in German and the hosting region is not given, so the references are the main evidence available.

What CAFM Systems (REDIX) does well

  • Unlimited users on SaaS or private cloud
  • ISO 27001 certification stated
  • Offline-capable mobile app
  • Ticket system and reservations as add-ons
  • Vienna-based vendor with long-running references

Where CAFM Systems (REDIX) falls short

  • No published prices
  • Mostly German-language site
  • Hosting region not stated
  • References concentrated in Austria

Standout feature. CAFM Systems (REDIX) combines an unlimited-user licence with offline mobile work orders for technicians.

#3 SPARTACUS Facility Management

Meerane, Germany Founded 1996 Not published Demo on request

Best for: German public bodies, banks and utilities

  • Operating company. N+P Informationssysteme GmbH
  • Jurisdiction. EU (Germany)
  • Where the data sits. No region given in the material read
  • Source code. Closed source
  • Replaces. Archibus, IBM TRIRIGA, MRI CenterStone

SPARTACUS Facility Management lists more processes than any other tool in the category: maintenance, space, budget and costs, energy control, fleet, help and service desk, inventory, reservations, cleaning, key systems, safety and moves. The vendor says buyers receive only the parts they need, and that the system is checked regularly by FM associations.

Development at N+P Informationssysteme GmbH in Meerane started in 1996. The firm reports over 200 customers, including a regional energy company, a savings bank and a city administration. The imprint gives a Chemnitz register entry (HRB 1746). Deployment is client-server, hosted or cloud, prices are not published and the site is German, with mobile and hosting details missing from the pages reviewed.

What SPARTACUS Facility Management does well

  • Wide list of FM processes
  • Client-server, hosted or cloud
  • Development since 1996
  • References in energy, banking and public sector
  • German vendor with register data in the imprint

Where SPARTACUS Facility Management falls short

  • No published prices
  • German-language site
  • Mobile and hosting details not on reviewed pages
  • Longer implementation likely

Standout feature. SPARTACUS Facility Management still offers a client-server installation next to hosting and cloud.

#4 Facilitor

Enschede, Netherlands Founded 1988 Not published; demo on request Demo on request

Best for: Dutch schools, care, public bodies and financial institutions

  • Operating company. Aareon Nederland B.V.
  • Jurisdiction. EU (Netherlands)
  • Where the data sits. No region given in the material read
  • Source code. Closed source
  • Replaces. Archibus, IBM TRIRIGA, MRI CenterStone

Facilitor offers service management for facilities and IT in one product, spanning FMIS, ITSM and enterprise service management. The facility side covers reports, visitor registration, reservations and maintenance. A school group named on the vendor's site describes using it for these processes in five buildings, and the site has pages for care, construction, finance, education and government.

The vendor says it has developed software since 1988 and calls the product standard software that is configured. The privacy policy names Aareon Nederland B.V. as controller and the contact page gives an Enschede address, so Aareon's terms apply. Prices are on request, the pages are Dutch, and real estate depth is less visible than at Planon.

What Facilitor does well

  • FMIS and ITSM in one product
  • Development since 1988
  • Standard software with configuration
  • Sector pages for education, care and government
  • Dutch contact and support

Where Facilitor falls short

  • Prices not published
  • Dutch-language site
  • Part of Aareon, not independent
  • Real estate depth unclear

Standout feature. Facilitor stands alone in joining facility management and IT service management in a single system.

#5 Planon

Nijmegen, Netherlands Not published Demo on request

Best for: Large organisations with real estate and facility portfolios

  • Operating company. Planon International B.V.
  • Jurisdiction. EU (Netherlands)
  • Where the data sits. No region given in the material read
  • Source code. Closed source
  • Replaces. Archibus, IBM TRIRIGA, MRI CenterStone

The vendor presents Planon as an IoT-enabled IWMS in four solution areas: real estate management, space and workplace services, asset and maintenance management, and energy and sustainability management. A campus solution for higher education, a lease accounting solution covering FASB and IASB rules and a Planon for SAP integration are listed separately.

Headquarters are in Nijmegen according to the company, with offices worldwide. The privacy statement lists Planon International B.V. and Planon B.V. next to group companies in the UK, Germany, Austria, Switzerland, France and elsewhere, plus Planon Canada Inc., so the signing entity depends on the customer's region. The group page lists acquisitions such as control.IT and a majority stake in Ubigreen. Prices and hosting are not published.

What Planon does well

  • Wide IWMS scope
  • Lease accounting and SAP integration
  • Campus solution for universities
  • Dutch headquarters
  • Energy and sustainability module

Where Planon falls short

  • Prices not published
  • Group includes non-European entities
  • Implementation effort for a full IWMS
  • Hosting region not stated

Standout feature. Planon alone pairs lease accounting with SAP integration and a campus solution.

#6 Infraspeak

Porto, Portugal Founded 2015 No plans listed; a price follows a booked demo Demo on request

Best for: Facility managers and service providers running hotels, retail or building estates in several countries

  • Operating company. Infraspeak, SA
  • Jurisdiction. EU (Portugal)
  • Where the data sits. Stated as EU hosting on Amazon Web Services, while the privacy policy also allows processing in the EU or third countries
  • Source code. Closed source
  • Replaces. UpKeep, MaintainX, Limble

Infraspeak describes a CAFM and CMMS platform whose base is work orders and preventive plans, topped by supplier and procurement handling and field service. Users work in a browser or in apps for iOS and Android. The vendor counts more than 100 integrations. The site ranks it sixth of the ten because no plan is shown on the pricing page and the infrastructure runs on Amazon Web Services.

Dating from 2015, the firm reports a presence in 47 countries and a staff above 180, all vendor figures. A trust centre carries the ISO 27001 listing. Hosting is stated as EU-based, yet the privacy policy keeps the door open to processing elsewhere, and a buyer reaches a price only through a demo request.

What Infraspeak does well

  • ISO 27001 certification appears in the trust centre
  • Portuguese company seated in Porto
  • Supplier, procurement and field service handling beside maintenance
  • Over 100 integrations with outside systems are advertised
  • Privacy policy puts hosting of personal data in the EU

Where Infraspeak falls short

  • Pricing page lists no plans or amounts, only a demo form
  • Neither a free plan nor a trial is mentioned on that page
  • Runs on Amazon Web Services, with no region disclosed in the trust centre
  • Privacy policy permits processing in non-EU third countries

Standout feature. Infraspeak stretches furthest past maintenance, adding supplier and procurement management for building portfolios.

#7 Spacewell

Wilrijk (Antwerp), Belgium Pricing on request Demo on request

Best for: Big employers wanting facility, energy and sensor data from a single supplier

  • Operating company. Spacewell International NV
  • Jurisdiction. EU (Belgium)
  • Where the data sits. No region given in the material read
  • Source code. Closed source
  • Replaces. Robin, Envoy

Spacewell provides desk and room booking with occupancy tracking through IoT sensors, automatic no-show handling, floor plan tools and space simulation, and lists energy and facility modules in the same suite. The vendor states that the former Axxerion facility system is now part of Spacewell, which is why the card carries both names.

Spacewell International NV, in Wilrijk near Antwerp, is the operating company, and the website puts it inside Nemetschek, a point for the contract review. Neither a price nor a hosting region appears on the pages read. A fifty-desk office would use a small part of the suite, because it is written for large portfolios.

What Spacewell does well

  • Booking of desks and rooms backed by sensors
  • Automatic no-show handling
  • Floorplan and space simulation tools
  • Belgian NV, registered office listed
  • Facility and energy modules together

Where Spacewell falls short

  • No published pricing
  • Hosting region never named
  • More suite than a plain booking need requires
  • Aimed at large portfolios

Standout feature. Spacewell alone sends sensor-measured occupancy into the suite that holds its facility modules.

#8 FaultFixers

London, United Kingdom Per paid user per month: £35 on Starter, £50 on Professional (billed monthly), Enterprise by quote; reporters cost nothing Demo on request

Best for: Small and mid-sized maintenance teams in the UK

  • Operating company. FaultFixers Technologies Limited
  • Jurisdiction. UK law, outside the EEA but with an EU adequacy decision
  • Where the data sits. No region given in the material read
  • Source code. Closed source
  • Replaces. Archibus, IBM TRIRIGA, MRI CenterStone

FaultFixers brings reactive tickets, a planned maintenance matrix, checklists, asset tracking, QR codes, time and cost tracking and KPI dashboards into one tool. Starter costs £35 and Professional £50 per paid user per month on monthly billing, an annual option saves 14 percent, and people who only report faults are free and unlimited. A free trial and a tour are offered.

Behind the tool stands FaultFixers Technologies Limited, London, English register number 08328746. Asset register, unlimited PPM and digital checklists sit in Professional, and SSO and an uptime SLA only in Enterprise. There are no space or lease modules, prices are in pounds and the hosting region is not stated.

What FaultFixers does well

  • Published per-user prices
  • Free unlimited reporter users
  • Free trial and tour
  • QR code scanning
  • UK company with register number

Where FaultFixers falls short

  • Pounds pricing, per paid user
  • No space or lease management
  • Hosting region not stated
  • SSO only in Enterprise

Standout feature. FaultFixers is the one vendor whose monthly per-user price a buyer can read publicly.

#9 CAFM Explorer

Glasgow, United Kingdom Not published; demo on request Demo on request

Best for: UK facility teams in public sector, health and education

  • Operating company. Idox
  • Jurisdiction. UK law, outside the EEA but with an EU adequacy decision
  • Where the data sits. No region given in the material read
  • Source code. Closed source
  • Replaces. Archibus, IBM TRIRIGA, MRI CenterStone

CAFM Explorer is the CAFM product of Idox and covers property, estate and people records, a helpdesk, asset management with maintenance schedules and finance management for costs and stock. The vendor claims more than 300 standard reports, a seven-tier hierarchy for managing buildings across locations and time zones, and support for over 40 industry sectors.

Idox describes itself as a plc working from UK offices, Glasgow among them, and says support, implementation and training come from a UK-based team. Delivery is cloud or on-premises. The compliance content is oriented to UK building regulations and health and safety, the exact contracting entity was not confirmed on the pages reviewed, and no prices or mobile app detail are published.

What CAFM Explorer does well

  • Cloud or on-premises
  • 300+ standard reports
  • UK-based support
  • Helpdesk, assets and finance
  • Multi-currency and time zone support stated

Where CAFM Explorer falls short

  • No published prices
  • UK regulation focus
  • Contracting entity not confirmed
  • Mobile app details thin

Standout feature. CAFM Explorer pairs on-premises or cloud delivery with more than 300 standard reports.

#10 Vantify CAFM

London, United Kingdom Not published Demo on request

Best for: UK property and facility teams that also need compliance and out-of-hours support

  • Operating company. Vantify Limited
  • Jurisdiction. UK law, outside the EEA but with an EU adequacy decision
  • Where the data sits. No region given in the material read
  • Source code. Closed source
  • Replaces. Archibus, IBM TRIRIGA, MRI CenterStone

Vantify CAFM puts jobs, assets, planned maintenance and service providers in one system, with real-time visibility of what is open, overdue or due next across every site. The extra is a 24/7 Service Desk that takes calls outside working hours and coordinates providers, which is a managed service and not a software feature.

Vantify Limited, company registration 05277497, has its registered address at 20 Grosvenor Place, London. It is a subsidiary of Charis Four, which trades as Axiom GRC. Sister products cover health and safety, fire, water, asbestos and risk management, and industry pages target retail, healthcare and hospitality. No prices are published, space management detail is thin and the hosting region is not stated.

What Vantify CAFM does well

  • 24/7 service desk option
  • Compliance and risk products from same group
  • Jobs, assets, PPMs and providers together
  • UK company with register data
  • Industry pages for retail, healthcare and hospitality

Where Vantify CAFM falls short

  • No published prices
  • Little space management information
  • Subsidiary of a larger group
  • Hosting region not stated

Standout feature. Vantify CAFM uniquely offers a staffed out-of-hours desk run by the same vendor.

How do I decide between CAFM, CMMS and IWMS software?

Start from the records you must keep, not from the acronym. A CMMS tracks assets and work orders, a CAFM system adds helpdesk, compliance and suppliers for buildings, and an IWMS adds real estate, leases and workplace. In this list Planon positions itself as an IWMS, REDIX, SPARTACUS and CAFM Explorer present as CAFM, and Infraspeak describes itself as CAFM and CMMS in one platform.

A school group that only needs reports, visitors and bookings will be served by Facilitor or FaultFixers. A utility with fleets, keys, energy and cost control looks at SPARTACUS, and a university with a campus and a lease portfolio at Planon. Writing the used modules down before the first demo prevents paying for a suite you open for two screens.

What does European facility management software cost, and how do the prices work?

Only FaultFixers shows amounts: Starter at £35 and Professional at £50 per user per month on monthly billing, in pounds, with an Enterprise plan on request and free reporters. Granlund Manager states that its price follows properties, modules and integrations. REDIX advertises unlimited users. Planon, SPARTACUS, Facilitor, Spacewell, Infraspeak, CAFM Explorer and Vantify CAFM publish no figure and lead to a demo.

The quote therefore becomes the basis of comparison. Give every vendor identical inputs: buildings, floor area, technicians, requesters and integrations, and add one-off lines for migration and training. A per-user price grows with the maintenance team, a per-property price grows with the portfolio, and an unlimited-user licence shifts the cost to the project.

Which vendors contract under EU law, and which do not?

Seven vendors contract through EU companies in Finland, Austria, Germany, the Netherlands (Planon, and Facilitor through Aareon), Portugal and Belgium. Three are British: FaultFixers, Idox with CAFM Explorer, and Vantify Limited. The UK has an EU adequacy decision but is not in the EEA.

Ownership needs a second look as well. Spacewell names Nemetschek as parent, Vantify sits under Charis Four, and Planon's privacy statement includes non-European affiliates like Planon Canada Inc., so which Planon entity signs depends on where the customer is. For CAFM Explorer the exact Idox contracting entity was not confirmed on the pages reviewed, so ask for it in writing.

How do I migrate from Archibus to a European system?

Treat the move as three data sets: property and space records, the asset register with its history, and open and closed work orders. Planon and Granlund Manager come from the property side, REDIX and SPARTACUS from the asset and process side, and FaultFixers, Infraspeak and Vantify CAFM from the job side. Ask each vendor to import a sample of your own export before the contract is signed.

Archibus is not European-owned, which is why it is the comparison point on the site's alternative page, but the licence end date, not the vendor, should set the schedule. Plan a parallel period, list the interfaces to finance and drawings first, and retire the old system only after the first audit cycle has run on the new one.

In which cases is a move to a European CAFM system a bad idea?

Do not switch while a tool covers a process none of the European candidates documents. CAFM Explorer's compliance content follows UK building regulations, so an estate outside the UK gets less from it, and Vantify's service desk is a managed service that exists only in the UK context. Equally, a full IWMS with leases and chargebacks cannot be replaced by a maintenance app such as FaultFixers.

Timing matters as well. A change halfway through a multi-year contract, or in the months before an audit or a handover, adds risk without a matching gain. A smaller first step, such as a service desk in Facilitor or a mobile app for one site, can test the vendor before the property data moves.

What should I check on hosting and security?

Infraspeak is the sole vendor that mentions where it hosts; for the other nine, add the question to your request for offer. It claims EU hosting on Amazon Web Services but gives no region, and its privacy policy leaves room for processing in third countries. Per the vendors, REDIX and Infraspeak hold ISO 27001.

Ask also for the sub-processor list, the backup location, the retention rule for closed jobs and the exit export format. SPARTACUS and CAFM Explorer are the two that name on-premises or client-server options, which matters for organisations that keep building data inside their own network.

How we selected and ranked these 10 tools

Every tool on this page is in the European Purpose directory, which means the operating company is established in Europe and we have verified that from the company register or the vendor's own legal notice rather than from a marketing page. Tools headquartered outside Europe are not eligible, however good they are.

  1. Feature verification (weight: 40%). We check each capability against the vendor's own documentation and product pages, and record what the tool does rather than what the category is assumed to include.
  2. Ease of adoption (weight: 30%). Integrations, published API access, trial availability and how much configuration stands between signing and a usable result.
  3. Value and transparency (weight: 30%). Published pricing counts in a vendor's favour; quote-only pricing is recorded as quote-only rather than estimated. We weigh what a buyer gets for the entry price, not the headline feature count.
  4. Editorial review. Every page is researched and drafted with AI assistance, and the compliance and pricing claims are checked against the vendor's documentation before it is published under the founder's editorial responsibility. The three weights above decide the order; a position is a ranking against the other European tools in this category, not an absolute score.

Vendor-reported outcomes — ROI figures, margin uplift, time saved — are labelled as vendor claims wherever they appear on this page. We have not audited them, and neither has anyone else who quotes them. Read our full editorial process for how pages are re-verified.

Frequently asked questions

It depends on scope. Planon is the widest, an IWMS with real estate, workspace, maintenance and energy, while Granlund Manager suits property portfolios and REDIX and SPARTACUS suit facility processes. Facilitor combines FMIS and IT service management, Infraspeak and FaultFixers focus on maintenance work orders, and CAFM Explorer and Vantify CAFM serve UK estates.

On the FaultFixers site, Starter is £35 and Professional £50 per user per month, and reporters are free. Granlund Manager says its price depends on properties, modules and integrations, without a list. The other tools, including Planon, Facilitor and Infraspeak, ask for a demo or a quote.

CAFM Systems says REDIX has unlimited users, on SaaS or private cloud. Other vendors price by properties and modules (Granlund Manager), by paid user (FaultFixers) or on request. The unlimited-user statement is the vendor's own, and the platform price is not published.

SPARTACUS is offered as client-server, hosting or cloud, and CAFM Explorer from Idox lists cloud or on-premises delivery. Granlund Manager, Infraspeak and FaultFixers are cloud products according to the pages reviewed.

Yes in geography, no in law: FaultFixers, CAFM Explorer and Vantify CAFM are British, so contracts fall under UK law. The EU adequacy decision covers data transfers to them, yet the UK is outside the EEA.

Vantify CAFM is the one with a 24/7 service desk option that takes calls and coordinates providers. Granlund's group also offers consulting, and CAFM Systems offers services and 3D scans, but a staffed desk was documented only for Vantify.
