European Virtual Data Room Tools
A virtual data room holds the documents of the most sensitive moment in a company's life: a sale, a financing round, an IPO or a restructuring. These European data room providers contract through EU, UK or Swiss entities, and most state where the data is stored, so the due diligence files stay under European law instead of a US provider's.
How we rank these tools — 4-step process
-
1
European ownership, verified
The company is headquartered and incorporated in the EU, EEA or Switzerland, and processes customer data in Europe. A US parent company disqualifies a tool from this page regardless of where its servers are.
-
2
Category fit and hands-on review
What the tool actually does, who it suits, and where it falls short — checked against the vendor’s own documentation, changelog and pricing page rather than its marketing copy.
-
3
Compliance and pricing check
GDPR posture, hosting location and the prices quoted on this page are verified against the vendor’s public pricing before publication, and re-checked when we revisit the category.
-
4
Position on this page
Placement on this page can be paid, and that can affect the order tools appear in. It never buys a listing: a tool that fails the checks above is not here at any price, and payment does not change the shortcomings we write about. A vendor can ask us to correct a factual error — not to remove a criticism.
Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. Paid placement can affect the order in which tools appear; it never affects whether a tool is listed. Editorial policy

Frequently Asked Questions
For a full M&A process with AI redaction, Q&A and translation, Drooms (Germany) and Imprima (Netherlands) are the closest European matches to Datasite's feature set. Admincontrol (Norway) and Virtual Vaults (Netherlands) publish prices, which makes them easier to compare, since Datasite lists none on its site. For German-only hosting, netfiles, docurex and dataroomX are the options.
Drooms offers a free Starter plan (150 MB, 2 user licences, 3 projects). FORDATA lists a Lite plan at EUR 275 per month, dataroomX starts at EUR 190 per month for one data room with 3 users, and Admincontrol lists its virtual data room from GBP 685 per month. Virtual Vaults starts at EUR 754 per month for unlimited storage.
It depends on the vendor, so ask. netfiles, docurex, dataroomX and idgard state that they operate in Germany only. TransfertPro hosts in France on 3DS Outscale, FORDATA says its data centres are in the EU, and Admincontrol lists European data centres. Imprima stores data in EU locations on Microsoft Azure Storage, and Virtual Vaults uses Microsoft Ireland, so those two have a US-parented infrastructure supplier in the chain.
Yes. Drooms has an AI assistant, tabular review and AI redaction. Imprima offers Smart Review, Smart Summaries, Smart Index, Smart Redaction and Smart Translation. docurex runs its AI in its own German data centre, and FORDATA sells AI redaction and translation as add-ons. Admincontrol includes AI-powered search in its virtual data room plan.
The Complete Guide to European Virtual Data Room Tools
Check the contracting entity, not only the data centre
A data room can store files in Frankfurt and still be sold by a US company. Before shortlisting, read the terms and the imprint for the entity that signs your order form. Datasite, for example, operates its website through Datasite LLC and relies on the EU-U.S.
Data Privacy Framework for transfers. The vendors on this page contract through German, Dutch, Norwegian, Polish, French or UK companies. Also ask which infrastructure supplier hosts the files: some run on Microsoft Azure in the EU, others in their own or French and German data centres.
Match pricing and AI to the size of the deal
Prices in this category range from a free Starter plan and monthly flat packages to quote-only enterprise deals.
A small sell-side process rarely needs more than a Lite or Basic package, while a bank-led auction with hundreds of bidders needs unlimited users, a dedicated project manager and a certified archive at closing. AI redaction and automatic indexing now save days of manual work, but vendors differ on whether AI is included, limited by plan or sold as an add-on, so ask for the plan matrix before you sign.
