WPS Office is a free office suite with a word processor, spreadsheet, presentation tool and PDF tools. It runs on Windows, Mac, Linux, Android, iOS and iPad, and in a browser.

Its buy page lists a free plan with 1 GB of cloud space and support for 47 file formats, and a paid Pro+ plan that adds 20 GB of cloud storage and removes advertising. That mix of a free price and wide platform support is why it has so many users.

The terms on wps.com name WPS Software Pte. Ltd. of Singapore, and its affiliates, as the provider, with Kingsoft Office Software India Private Limited for users in India. Disputes are sent to arbitration at the Hong Kong International Arbitration Centre under that centre's rules. The privacy policy lists data centres in Singapore, France, Japan, the United States and India, and has a section for users in the European Economic Area. Singapore is not in the EU or the EEA.

OnlyOffice's privacy policy names Ascensio System SIA, a company in Latvia, as the party behind the product. Its own FAQ says the company is a subsidiary of OnlyOffice Capital Group Pte. Ltd., whose beneficiaries are listed in the Singapore registry. That is the same country as WPS's contracting entity, so if Singapore is your reason for leaving, read this carefully.

Collabora Productivity Limited is based at St John's Innovation Centre in Cambridge, United Kingdom, per its contact page, and its privacy notice describes it as a division of the Collabora consultancy. CryptPad is made at XWiki, which describes itself as a company based in Paris, France, and its pricing page names XWiki SAS for the CryptPad.fr flagship instance. The project says it is open source, funded partly by French and European grants, and that anyone can self-host it.

The pricing page lists a free account on a public instance, paid plans on the flagship instance of EUR 5 to EUR 100 a month, and a hosted or on-premise instance from EUR 1.5K a year. It is best for collaboration and privacy rather than for pixel-exact Microsoft layouts.

Best for: Linux users who want a free native suite

Calligra describes itself as an office and graphic art suite made by KDE, with Words, Sheets, Stage, Karbon and Plan, and a database app called Kexi. KDE e.V., the registered non-profit behind KDE, gives its address as Prinzenstrasse 85 F in Berlin. We did not check a register number for it.

Its download page lists Linux and Flatpak, and says Windows is still being worked on. That makes it the narrowest option here, and a poor match for the Windows, Android and iPhone users who typically choose WPS. It is on the list for completeness and for Linux users who want a native suite.

What actually breaks when you switch

The hardest part of leaving WPS is the formatting of complex files. Documents with tracked changes, tables of contents, macros, pivot tables or tight page layouts may reflow in another suite. Test your worst files before you switch and keep the originals.

WPS has a mobile app and a browser version under one login. LibreOffice, Calligra and Collabora Office do not offer that in the same way, so if you edit on a phone every day, SoftMaker or a browser workplace such as kSuite or Proton Docs is easier.

The free tiers differ. Proton gives 5 GB, kSuite 15 GB of cloud storage, WPS 1 GB, and desktop suites give whatever your disk holds. Check the limits for the plan you need, and note the renewal price of anything paid.

Is there a European tool that works like WPS Office?

The closest in shape are the desktop suites. LibreOffice has Writer, Calc and Impress and costs nothing. SoftMaker Office has TextMaker, PlanMaker and Presentations, with apps for Windows, Mac, Linux, iOS and Android. Both open Microsoft formats, so a team that sends DOCX files back and forth can usually switch without changing its habits.

None replicates WPS exactly. WPS bundles PDF tools, a cloud account and templates, and it has mobile apps and a browser version under one login. Among the European tools, SoftMaker and OnlyOffice both list desktop and mobile apps in one product family.

Which of these are free?

LibreOffice and Calligra are free open-source suites. SoftMaker has a free FreeOffice edition alongside its paid Office. OnlyOffice offers free desktop and mobile apps. Infomaniak kSuite has a free-for-life tier with 20 GB of email storage and 15 GB of cloud storage, Proton has a free account with 5 GB and online document and spreadsheet editors, and CryptPad has free accounts on public instances.

openDesk has a free Community Edition, but it is meant for organisations that run it themselves. mailbox.org, Nextcloud Enterprise and Collabora are paid products, though mailbox.org offers a 30-day trial.

Which of these keep my documents out of a big public cloud?

Desktop suites such as LibreOffice and SoftMaker keep files on your own computer unless you choose a cloud. Among the hosted options, mailbox.org states German data centres, Infomaniak says kSuite is developed and hosted in Switzerland, and Proton and CryptPad are built around end-to-end encryption, where the provider cannot read your documents. Each should still be read against your own needs, and the contracting entity is always shown in its legal notice.

OnlyOffice and Collabora deserve a note. OnlyOffice's contracting company is in Latvia, but its own FAQ says it is a subsidiary of a Singapore group. Collabora Productivity is in Cambridge, which is the UK, outside the EU.

Can an organisation host its own?

Yes. Nextcloud is a German company whose open-source platform includes Nextcloud Office, and its Enterprise tier is listed on its own pricing page at 71.29 EUR per user a year for 100 users and up (Standard). openDesk, by ZenDiS in Bochum, is a sovereign suite for public bodies that uses Collabora for document editing. Collabora Online can also be bought directly.

These need an administrator and a server or a partner. For one or two people they are more than you need, and a desktop suite is simpler.

Which one to pick

If you are one person who wants a free suite on a computer, install LibreOffice. If you also want mobile apps and a more Microsoft-like workflow, try SoftMaker, and keep the free FreeOffice edition in mind while you decide. OnlyOffice has the widest free apps, so read its ownership details first.

If you work in a browser and want mail and storage with it, Infomaniak kSuite and mailbox.org are the two to compare, and Proton Docs or CryptPad are the choice when privacy matters more than layout fidelity.

Nextcloud, openDesk and Collabora are for organisations with IT staff or a partner, and Calligra is for Linux users. None of the eleven is a full copy of WPS, and none bundles its PDF tools, cloud account and mobile apps in one free product.

Switch if you want a provider in Europe, a stated data location or a register entry. Keep WPS if your files rely on its exact layout and you are comfortable with its terms and its Hong Kong arbitration clause.

The site terms we could read send disputes to arbitration at the Hong Kong International Arbitration Centre. They did not state a governing law, and the separate end-user licence agreement for the software was not available to read, so this page does not name one.

There is a free plan with 1 GB of cloud space. A paid Pro+ plan removes advertising and adds 20 GB of cloud storage; its price is shown in dollars on the buy page and can vary by country, so check it on the day you buy.
