Why people leave Google Calendar

A calendar looks like the easiest thing on this site to replace, and it is the one people most often abandon halfway. The events themselves move in minutes: every calendar exports to ICS and every calendar imports it. What does not move is the wiring — the invitation that lands in someone else's diary, the RSVP that comes back, and the ability to see that a colleague is busy at two.

It is worth clearing away the usual complaint first, because it is not true where most readers of this page live.

Google Calendar can populate itself from flight and hotel confirmations in your mailbox, but according to Google's own documentation that feature is off by default in the European Economic Area, Switzerland, the United Kingdom and Japan, and on everywhere else. If your diary is full of events you never typed, either you switched it on or you are not in Europe.

The real objection is structural. Google Calendar is not a product you buy; it is a feature of a Google Account, and it inherits everything about that account, including the fact that a free one has no region setting. Google does publish a CalDAV interface, which is more than most, but it is a partial one — no free-busy lookups, no MKCALENDAR, no tasks — so even the open route out is narrower than it appears.

  • The lock-in is the invitation, not the event Exporting a calendar is trivial and exporting a working arrangement is not. Once you leave, invitations still arrive because ICS is a universal attachment format, but the smooth part disappears: proposing a time against someone's visible availability, seeing a room's free slots, and having an RSVP update the organiser's copy automatically. Inside one Google domain all of that is invisible. Across providers it becomes email.
  • Google's CalDAV door is only half open The interface exists and Google documents its limits carefully. Connections must use OAuth 2.0, and anything attempting Basic Authentication or plain HTTP is refused with a 401. MKCALENDAR is not implemented, so a client cannot create a calendar. Separate the three jobs before comparing anything, because a calendar that does one of them beautifully can do another not at all.

The first is your own diary: events, reminders, recurrence, a view on a phone. Every option here does this, and the differences are small. The second is shared availability inside a team — seeing who is free, booking a room, delegating a manager's calendar.

This is where the gap is largest and where the honest answer is that only one entry here comes close. The third is scheduling with people outside your organisation, the "pick a slot" link, which is not a calendar feature at all and belongs to a different category of tool.

Most people arrive thinking they need all three and discover they need the first and a thin version of the second. Working that out in advance decides whether Proton Calendar is enough or whether you are really looking at Nextcloud.

The catch is the same one that governs Tuta's mail: there are no standard protocols. No CalDAV, so no native phone calendar, no Thunderbird, no third-party client of any kind. The diary lives in Tuta's applications and nowhere else, which is a coherent design and a hard limit.

It also only makes sense as part of a larger decision. Nobody should run a Tuta calendar against a Gmail mailbox; the value is in having one encrypted account covering mail, contacts and diary, at around €3 a month. Judge it on the suite rather than the calendar in isolation. What actually breaks when you switch

Shared calendars are what actually break, and they break quietly. Permissions do not travel in an ICS export, so every calendar someone else could see, edit or subscribe to has to be granted again on the other side, and nobody notices the omission until a colleague asks why the team calendar is empty. Write the sharing list down before you export, because you will not be able to read it afterwards.

The second is subscriptions. Most calendars carry read-only feeds nobody thinks about — a school term, a sports fixture list, a public holidays calendar, a project feed from another system. Those are URLs rather than events, so they survive a move only if you collect the addresses first. Exporting the account does not capture them.

The third is the half-migrated team. A group that moves together keeps a workable amount of its old behaviour; a group in which five people moved and fifteen did not spends months negotiating meeting times by email, and the five get blamed for it. If you cannot move everyone, it is usually better to move nobody until you can.

Does Google Calendar read my Gmail to fill my diary?

In Europe, not unless you asked it to. Google's help documentation states that events from Gmail are off by default for users in the European Economic Area, Switzerland, the United Kingdom and Japan, and on by default everywhere else. The setting lives behind "Show events from Gmail" and the broader smart-features control.

That matters for how you argue about this. A page that tells a German reader Google is scraping their inbox into their calendar is describing a setting that reader does not have switched on, and once someone checks and finds it off, everything else that page said gets discounted too.

What remains true is the underlying capability: outside those jurisdictions it is on, and the feature only works because the mailbox is legible to Google. The regional default is a compliance decision, not an architectural one.

Can I keep receiving meeting invitations after I switch?

Yes, and this is the reassuring half. Calendar invitations travel as ICS attachments over ordinary email, so a colleague on Google or Exchange sends you one, your new calendar reads it, and your acceptance goes back the same way. No provider on this page breaks that, because nobody could.

What breaks is everything that happens before the invitation. Scheduling assistants that show a grid of who is free, room resources that can be booked from the same dialogue, and delegated calendars where an assistant manages someone else's diary are all internal to a single directory. Cross-provider, they degrade to asking people when they are free.

For an individual this is a non-issue. For a team of thirty in which fifteen have moved, it is the single largest source of regret in this category, which is why a partial migration is worse than either a complete one or none at all.

Which of these actually syncs with my phone and my desktop?

Nextcloud, properly and natively, because it speaks CalDAV and CardDAV. Any iOS, macOS, Android or Thunderbird client can connect to it as a standard calendar account, which means the calendar app you already use keeps working and your contacts come along on the same protocol.

Proton Calendar and Tuta Calendar both sync through their own applications instead. That is a deliberate consequence of end-to-end encryption — a standard CalDAV client would need the keys — and it means your calendar lives in their app rather than in the one built into your phone.

Mailfence sits with the mailbox: the calendar is part of the same suite as mail, contacts and documents, reached through the web interface and the account's own access methods. If "it must appear in the calendar app on my phone without a new application" is a hard requirement, that requirement selects Nextcloud and eliminates most of the rest.

Is a self-hosted calendar realistic for one person?

More realistic than it sounds, and less than enthusiasts claim. Nextcloud GmbH is in Stuttgart, the software is AGPL-licensed, and the groupware component gives you calendar and contacts over open protocols without any provider in the picture at all. For a technically confident person on a small European VPS, this is a weekend and then forgetting about it.

The honest caveat is that a calendar is a live service, not an archive. If it stops responding, you find out during the meeting you missed. Someone has to apply updates, keep backups and notice when the certificate expires, and "someone" being you is a commitment rather than a one-off.

The middle path, and the one most individuals should take, is managed Nextcloud hosting from a European provider. You keep CalDAV, open source and the jurisdiction, and you buy back the part of self-hosting that nobody enjoys.

Which one to pick

For one person who wants the diary out of Mountain View with the least disruption, Proton Calendar is the answer, particularly if the mailbox is going the same way. It is honest about what it still sees, and that honesty is what makes it possible to decide whether the remaining visibility matters to you.

If the requirement is that the calendar appears in the app already on your phone, that requirement alone selects Nextcloud, because it is the only entry here with full CalDAV. Take the managed European hosting rather than the box in the cupboard unless running a server is something you enjoy.

Tuta Calendar is the right answer only as part of a Tuta account, and as part of one it is the cheapest complete escape on the page. Mailfence is the right answer for a small group that needs the address book and the documents too and does not need the calendar encrypted.

A personal Google Account has no equivalent control, so for an individual the answer is no.

Technically yes and practically it is awkward. You can run Proton Calendar or a Nextcloud calendar alongside a Gmail address, and invitations will reach you because they arrive as email attachments. What you lose is the automatic link between the two, so an invitation has to be added deliberately rather than appearing on its own. Most people who try the split arrangement end up moving the mailbox too.
