Its site describes an API-first platform, an Apaleo Store with 200+ apps and integrations, and ready-made AI agents for routine work. The idea is to assemble best-in-class apps around a lean core.

The imprint names apaleo GmbH, Sandstr. 3, 80335 Munich, Germany, registered at the Munich Commercial Register under HRB 229514. The company is clear about who you contract with, which is not true of every hotel software vendor.

It is also one of the few to publish a rate: €8 per room per month with a minimum from €400 per month, and no set-up, licence, maintenance or integration fees. Payment processing starts at 0.6%. The minimum means very small properties will pay more per room than the headline suggests, and the pages read did not state a hosting region.

What does "European hotel management software" actually mean?

It means the company that contracts with you is established in Europe, checked in its own terms, privacy policy or imprint. That is narrower than "built by Europeans" and broader than "your data stays in Europe". A vendor can be a Dutch B.V., a German GmbH, a Bulgarian AD or a Spanish S.L., and the legal form tells you who you sign with.

It is harder to judge than it looks, because several well-known European hotel systems are owned by larger groups or sit behind a parent brand. Where a vendor's own pages did not name a contracting entity, it is left out of this list.

The honest summary is that Europe has a good spread of real hotel platforms and a long tail of small-property systems, but no single vendor matches Oracle OPERA in every respect. The ranking reflects fit and transparency, not a claim that any of them equals the incumbents.

Which one replaces Oracle OPERA, which replaces Cloudbeds and which replaces Guesty?

For Oracle OPERA, the hotel-grade platforms are the match. Mews bundles PMS, revenue management, payments and POS, Apaleo is an API-first PMS with an app store, and Clock PMS is a cloud PMS with booking engine, restaurant POS and events modules.

For Cloudbeds, the all-in-one suites for smaller properties fit. Sirvoy, Octorate, Amenitiz and eviivo each combine a booking engine, a channel manager and a PMS in some form, and Beds24 does the same on a pay-as-you-go basis.

For Guesty, Smoobu and Beds24 are the closest, because both are built around holiday rentals as well as hotels and price per unit or per month.

What does hotel software really cost?

The published numbers are few. Apaleo charges €8 per room per month with a minimum from €400 per month and no set-up or licence fees. Octorate Basic starts at €8 per room per month, and its Pro and Ultimate plans are quoted. Beds24 starts at €15.50 per month with no contract. Smoobu starts at €28 per month for one unit, with further units from €9.60.

Sirvoy has a free plan for one room and paid plans that scale with the number of rooms. eviivo offers a 14-day trial and a pricing page that shows plans from £95 and a €0.50 fee per confirmed booking. Clock PMS calculates a monthly fee from annual revenue and rooms, and Mews shows indicative pricing for a 10-room property and then quotes.

Payment fees are a second price. Amenitiz states 1.5% plus €0.25 per AmenitizPay transaction and Apaleo states payment processing from 0.6%. Compare the total, not just the subscription.

Where do guest and payment data go?

A property management system holds names, passport scans, payment tokens and stay history, so the vendor's data statement matters more than its address. On the pages read, only Clock PMS describes a server choice, and it lists US regions among the options as well as stating that its processing is governed by EU and Bulgarian law.

For the other ten the storage region was not stated, so none is claimed in this directory. Before signing, ask for the data processing agreement and the list of sub-processors, and check which payment provider handles card data.

Where do hotel software choices go wrong?

The first failure is choosing a channel manager and assuming it is a PMS. Octorate and RoomCloud started on the distribution side and add PMS modules, which is fine for some properties and thin for others.

The second is assuming European means EU. eviivo is British, and its data sits under UK law, covered for EU transfers by an adequacy decision but outside the EEA.

The third is reading a headline price as the whole price. Per-room fees, payment processing, channel connections and extra users are often charged separately, as the Beds24, Clock PMS and eviivo pages show.
