European Church Management Software Tools

Church management software keeps the member database, groups, volunteer rotas, events, rooms and giving of a congregation in one place. Membership data can reveal religious belief, so where the vendor sits and where the data is stored matters more here than in most software. The European tools below are run by companies in Germany, Switzerland, the Netherlands and the United Kingdom.

How we rank these tools — 4-step process
  1. 1
    European ownership, verified

The company is headquartered and incorporated in the EU, EEA, the UK, Switzerland or Israel, and processes customer data in Europe or Israel. A US parent company disqualifies a tool from this page regardless of where its servers are.

  2. 2
    Category fit and hands-on review

What the tool actually does, who it suits, and where it falls short — checked against the vendor’s own documentation, changelog and pricing page rather than its marketing copy.

  3. 3
    Compliance and pricing check

GDPR posture, hosting location and the prices quoted on this page are verified against the vendor’s public pricing before publication, and re-checked when we revisit the category.

  4. 4
    Position on this page

Placement on this page can be paid, and that can affect the order tools appear in. It never buys a listing: a tool that fails the checks above is not here at any price, and payment does not change the shortcomings we write about. A vendor can ask us to correct a factual error — not to remove a criticism.

Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. Vendors can pay for more visibility, higher up on the review pages; it never affects whether a tool is listed. Editorial policy

Key takeaways

  • ChurchTools from Karlsruhe ranks first in this church management software list because ChurchTools Innovations GmbH publishes package prices from $39 a month and names servers in Germany and Finland.
  • Church Admin Plugin is the only free-to-start option here, a WordPress plugin whose free version covers people, a calendar and rotas, with a Small Churches price of $50 a year.
  • Three of the eleven tools are Swiss-built (Verowa, KiKartei, kirchenweb.ch) for parish structures, and all three publish German-language pages only.
  • Published prices span a wide range: Hubb lists £19 to £85 a month, ChurchDesk €109 to €437 a month excl. VAT, and Verowa CHF 1,500 to CHF 7,980 a year.
  • SongBeamer is not church management software in the full sense, because the program from Olching projects songs and Bible texts and has no member database.

European church management software is the database, rota, calendar and giving tooling that a congregation uses to run its members and volunteers, supplied by a company established in Germany, Switzerland, the Netherlands or the United Kingdom, which matters because the records inside such a system describe who belongs to a church, and in many countries that is special-category data.

How do I choose church management software in Europe?

Start from the jobs your congregation does every week, not from the feature list. A parish office that mostly maintains household records needs something different from a church that schedules forty volunteers across three services.

For a broad platform, ChurchTools covers people, groups, calendars, resources, events and check-in, while ChurchDesk adds a website designer, forms and workflows. For volunteer rotas and worship planning, ChurchSuite and Church Admin Plugin both list rota tools. For household and register work in Switzerland, KiKartei and Verowa are the specialised choices.

Then check the language. Scipio App, Verowa, KiKartei and kirchenweb.ch publish pages in Dutch or German only, which tells you what the support desk will speak.

What does church management software cost in euros, pounds and francs?

Four tools publish a clear price list. ChurchTools runs from $39 a month for 100 people to $249 a month for 2,500, with an XXL package at $399. ChurchDesk charges €109, €196, €275 or €437 a month excl. VAT with annual payment. Hubb charges £19 to £85 a month including VAT. Verowa charges from CHF 1,500 a year.

Church Admin Plugin sits at the bottom: a free version, $50 a year for up to 50 people, and premium at €99.99 a year. It costs less because your church supplies the hosting.

Four others show nothing usable. KiKartei, kirchenweb.ch, Scipio App and SongBeamer gave no amounts on the pages we read, and ChurchSuite and iKnow Church describe their pricing without readable figures. Budget for a quote or demo call with those six.

Where does church member data live, and does that matter?

It matters because a church member list reveals religious affiliation. Most of the tools here do not state a hosting country on the pages we read. The ones that do are ChurchTools (Germany and Finland, Hetzner Online), Verowa (Switzerland, Datenpark) and KiKartei (a data centre at Green, canton Aargau). Church Admin Plugin keeps data on your own WordPress site.

Jurisdiction is a second layer. ChurchSuite, Hubb, iKnow Church and Church Admin Plugin are UK-based, which is outside the EEA but covered by an EU adequacy decision. Verowa, KiKartei and kirchenweb.ch are Swiss and fall under the same kind of decision. ChurchTools, ChurchDesk, Scipio App and SongBeamer are established inside the EU.

Ask every supplier for its hosting location in writing before signing, because seven of the eleven pages left it open.

How do I move from Planning Center to a European church tool?

Treat it as several small moves instead of one. Planning Center sells People, Groups, Services, Check-Ins, Giving and Church Center as separate products, so list which ones your church uses and replace each one deliberately.

ChurchTools and ChurchSuite replace the widest set. ChurchSuite's Rotas and Planning modules line up with Services, and its Giving module handles Gift Aid. Church Admin Plugin offers the cheapest route for a small congregation. SongBeamer replaces only the song projection.

Export the people list first and test an import with twenty names. Volunteers and recurring donors are the groups who notice a bad migration, so move them last and tell them in advance.

When should a church stay with a simpler or non-European tool?

Stay put when the congregation is tiny and a spreadsheet works. A church with sixty members does not gain much from a GoBD-compliant finance module or a CHF 1,500 licence.

Stay with a US product when your volunteers rely on its app and your budget relies on its free tiers, provided your legal adviser accepts a Californian contract. Planning Center, for instance, lists its member database as always free.

Choose a narrow tool when the need is narrow. SongBeamer handles lyrics and Bible texts on screen and nothing else, which is the right size for a congregation that tracks its members on paper.

Which church management software works across languages and countries?

ChurchDesk is offered in German, Danish, English, Norwegian and Dutch. ChurchTools has an English site, although the English legal pages are translations of the binding German text. ChurchSuite quotes prices in pounds, dollars, euros and Australian dollars and has regional versions for England and Australia.

The Swiss specialists are monolingual. Verowa, KiKartei and kirchenweb.ch use German terms such as Pastoralraum and Kirchgemeinde, and they are built around cantonal structures, so a church outside Switzerland gains little from them.

Scipio App is Dutch only, which fits its audience in the Netherlands and makes it a poor fit elsewhere.

How we selected and ranked these 11 tools

Every tool on this page is in the European Purpose directory, which means the operating company is established in Europe and we have verified that from the company register or the vendor's own legal notice rather than from a marketing page. Tools headquartered outside Europe are not eligible, however good they are.

  1. Feature verification (weight: 40%). We check each capability against the vendor's own documentation and product pages, and record what the tool does rather than what the category is assumed to include.
  2. Ease of adoption (weight: 30%). Integrations, published API access, trial availability and how much configuration stands between signing and a usable result.
  3. Value and transparency (weight: 30%). Published pricing counts in a vendor's favour; quote-only pricing is recorded as quote-only rather than estimated. We weigh what a buyer gets for the entry price, not the headline feature count.
  4. Editorial review. Every page is researched and drafted with AI assistance, and the compliance and pricing claims are checked against the vendor's documentation before it is published under the founder's editorial responsibility. The three weights above decide the order; a position is a ranking against the other European tools in this category, not an absolute score.

Vendor-reported outcomes — ROI figures, margin uplift, time saved — are labelled as vendor claims wherever they appear on this page. We have not audited them, and neither has anyone else who quotes them. Read our full editorial process for how pages are re-verified.

ChurchTools, from ChurchTools Innovations GmbH in Karlsruhe, ranks first on this list because it publishes prices and names its hosting. ChurchSuite suits UK churches that need rotas and Gift Aid. Verowa suits Swiss parishes, ChurchDesk suits German parishes with a larger budget, and Church Admin Plugin suits small churches on WordPress.

Church Admin Plugin has a free version with people, calendar and rotas, made by Andy Moyle in King's Lynn. ChurchTools offers a 30-day trial and a free first year for church plants. kirchenweb.ch also offers a free trial. None of the Swiss tools lists a free plan.

ChurchSuite, Church Admin Plugin, Hubb and iKnow Church are UK-based. All four serve English-language churches, and ChurchSuite and Hubb both mention Gift Aid, the UK tax relief on donations.

Verowa from Winterthur, KiKartei from Kleindöttingen and kirchenweb.ch from Gächlingen are built for Swiss parish structures. Verowa and KiKartei state Swiss hosting. All three publish pages in German.

ChurchSuite lists Rotas and Planning modules, Church Admin Plugin lists rotas in its free version, and ChurchTools lists Events for coordinating volunteers. Verowa plans worship roles inside events. KiKartei, kirchenweb.ch and SongBeamer do not name a volunteer rota on the pages we read.
