How do you choose between a full benefits platform and a single-benefit provider?
Start from the number of benefits you actually run. A company with eight or ten benefits, individual budgets and a payroll hand-off needs an enrolment layer, and in this list Probonio, Epassi and Cobee are described that way. A company that wants one thing, such as a bike scheme or health cover, can buy a single product and skip the platform.
JobRad is the plain example of the narrow route. Its employer pages describe a free, non-binding digital framework agreement, employees pick a bike at a partner shop or online, and the employer approves the order. JobRad itself says it does not replace a platform that manages many benefits, and the site suggests pairing it with a general tool such as Probonio.
Alan sits in between. Alan is an insurer with HR administration for entries, exits and work stoppages, so it covers the health slice of a benefits stack and the paperwork around it, but not a flexible budget. If your first problem is health cover, Alan is a candidate. If your first problem is a spreadsheet of twelve different benefits, it is not.
What does benefits administration software cost, and which vendors publish a price?
Only Probonio publishes a range. Its pricing page, checked on 3 November 2026, gives EUR 2.40 to 9.00 per active user per month depending on package, a EUR 12 net monthly minimum per company, and says customers pay only for active users and unlocked benefits. Individual benefit packages are available on request and carry no listed price.
Every other platform here asks you to talk to sales. Benifex sells by demo, Perkbox asks you to fill in a form for a quote, Reward Gateway directs visitors to a demo or contact form, and Epassi, Pluxee, Cobee, Alan and Edenred show no figures. Cobee has a Paquetes section that names packages without amounts, and Alan has a quote tool that returns a price only after you enter company details.
JobRad is the odd one. According to its employer pages the framework agreement and the service are free for companies, but the page gives no leasing rate amounts, so the real cost lands on the employee through the leasing terms they accept.
For a per-active-user model like Probonio's, the total scales with how many people use benefits in a given month, not with headcount on paper. Ask for a sample invoice based on your real participation rate before you compare it with a quote from a vendor that prices by contract.
Where is employee benefits data hosted, and who can see it?
Few of these vendors say. Epassi states in its privacy policy that personal data is stored in two separate EU-based data centres, without naming the cities. Alan states that general infrastructure is on AWS in Frankfurt and that health data is hosted in the EU on HDS-certified AWS infrastructure. For the other seven, the pages we read give no hosting location.
Ownership and sub-processors matter as much as the postcode. Epassi says some providers may operate outside the EU or EEA and names Shopify, Inc. as a possible non-EU recipient of EpassiBIKE end-user data. Alan's policy says medical document analysis runs in the EU and, in a test, in Tunisia. Both statements are on the record, which is more than most vendors offer.
Probonio mentions ISO/IEC 27001 certification but no hosting location, so the practical step is to ask for the hosting location and the sub-processor list before you sign a data processing agreement. That request applies to every vendor on this list that is silent on the point.
Does a British vendor count as a European alternative to Benefitfocus?
Geographically yes, legally it is a different category. Benifex (Southampton), Perkbox (London), Reward Gateway (London) and Pluxee UK are outside the EEA. In our pages the transfer of employee data to them rests on the United Kingdom adequacy decision, which the European Commission can review.
The group structures add a second layer. The Reward Gateway privacy notice states that Reward Gateway (UK) Ltd was acquired by Edenred SE, a French company, and the product now carries the name Reward Gateway | Edenred. The same notice names separate entities for the Australian and US platforms, so confirm that your contract is with Reward Gateway (UK) Ltd. Perkbox's privacy notice also names an Australian entity.
Benifex, Perkbox, Pluxee UK and Reward Gateway are weighted toward recognition, perks and engagement. If the job is enrolment, budgets and a payroll file, the EU-established options are Probonio in Germany, Epassi in Finland and Cobee in Spain.
Which of these tools can replace Benefitfocus, Workday Benefits or ADP Benefits?
Probonio, Epassi and Cobee are the three listed against those US platforms on this site. Probonio brings an employer portal, an employee app, a free HR software integration with payroll data transmission and individual budgets per group, employee and period. Epassi brings an employee app, automated employer processes and a network of 100,000+ service providers, and Cobee brings a purchase-order-free spending model for companies in Spain.
None of the three documents the same module list as a large US suite. Probonio does not list which HR systems it supports, Epassi gives no module list, and Cobee is Spain-only. A migration therefore starts with a requirements checklist, not a feature comparison, and each gap should be put to the vendor in writing.
The rest of the list replaces slices. Alan takes over the health cover slice, Edenred the voucher and payment slice, and JobRad the bike slice, so a full replacement can be built from one platform plus one or two specialists.
When should you not switch from your current benefits provider?
Do not switch if the cause of the pain is the process rather than the tool. Late employee approvals, benefit budgets that nobody owns and payroll files corrected by hand will follow you to any platform, and a new vendor will only expose them faster.
Do not switch either when your headcount sits in several countries and your candidate is local. Cobee describes itself as the platform for companies in Spain and the offer is Spain-only on the pages we read, and Pluxee's UK pages are UK-focused. A multinational that moves a single country onto a local tool ends up with two systems.
Finally, be careful with price-driven moves. Probonio's published per-user rate is attractive on paper, but individual benefit packages and the unlisted HR integrations still need quotes and a trial with your payroll provider before any contract is signed.
